Job Title: Temporary Executive Assistant to CEO
Location: Paisley, Renfrewshire
Rate of Pay: approx. £19.50p/h
Length of Contract: Approx till the end of March 2026, but could be extended
Certain Advantage are supporting our client, a well respected and renowned business based in the central Paisley area, to recruit a Temporary Executive Assistant to work closely with the CEO.
As such this role required a candidate with a proven track record at this level. You will provide high-level executive support to the CEO, acting as their primary point of contact internally and externally, ensuring the CEO’s time is managed efficiently, enabling strategic focus and effective leadership. You will represent the CEO professionally as the “face and voice” of the executive office.
The role will start asap and run at present till the end of March, though this may be extended.
Key Responsibilities
Inbox & Communication Management
Manage the CEO’s email inbox, prioritising messages and responding on their behalf when appropriate
Draft, edit, and proofread high-quality communications and correspondence
Filter and triage emails to ensure urgent matters are addressed promptly
Handle incoming calls, acting as the first point of contact for internal and external stakeholders
Maintain confidentiality and discretion at all timesStakeholder Management
Serve as the primary point of contact for senior stakeholders, including board members, investors, partners, and clients
Build and maintain strong relationships through professional and proactive communication
Coordinate and manage stakeholder expectations and follow-upsDiary & Calendar Management
Manage the CEO’s calendar with a focus on prioritisation, balance, and time efficiency
Schedule meetings, calls, and appointments, ensuring all logistics are arranged
Coordinate across multiple time zones and complex schedulesBoard & Executive Support
Support the preparation and coordination of board meetings and executive committees
Draft and distribute agendas, minutes, and supporting documentation
Coordinate logistics, venue arrangements, and attendee requirements
Ensure timely follow-up on actions and decisionsMeeting & Travel Coordination
Organise and manage travel arrangements, itineraries, and accommodations
Prepare briefing packs and meeting materials in advance
Ensure seamless logistics for internal and external meetingsAdministrative & Project Support
Manage confidential and sensitive information with professionalism
Support ad hoc executive projects and initiatives as required
Maintain accurate records, filing systems, and documentationSkills & Experience Required
Proven experience as an Executive Assistant or similar role supporting C-suite executives
Strong organisational skills with excellent attention to detail
Exceptional written and verbal communication skills
Ability to manage competing priorities in a fast-paced environment
High level of discretion, professionalism, and integrity
Strong stakeholder management and interpersonal skills
Proficient in Microsoft Office and digital collaboration tools
