Medical Devices Investment Programme Facilitator

Applications are invited for the fixed term post of a Medical Devices Acquisition Programme Facilitator to work within Healthcare Sciences and Technology. The successful applicant will work under the supervision of the Medical Devices Senior Project Manager and will be required to participate in supporting the administration and delivery of the Medical Devices Acquisition Programme

The Medical Devices Investment Programme is part of the Healthcare Science and Technology Directorate at Derriford Hospital. This is a dynamic programme that exists to ensure that there is sufficient investment in medical devices that meets the needs of patient care and reflects the demands of 21st century healthcare. This includes the replacement of current devices, investment in new technology and the acquisition of devices to support strategic developments in patient care and delivery.

There is the possibility that this post may become a permanent position with potential development opportunities for the right individual, subject to funding and service needs.

We would welcome and consider applications from applicants that do not meet all of the essential criteria in the JD, and if successful, the role would be a developmental role from band 3 to a band 4, pay adjusted appropriately.

Main duties of the job

To work with and support the Medical Devices Acquisition Project Team:

Provide project and administrative support to the Medical Devices Investment Programme (MDIP) (Previously RRP).

Assist in the organisation and delivery of medical device acquisition projects including trials, evaluations, delivery & commissioning, and user training.

Assist in the development of device specification with users and other specialist advisors.

Provide administrative support to the Acquisition Programme and associated Reference Groups, Steering Groups, Project Boards and Medical Devices Strategy Group, by taking minutes, organising stakeholder meetings and email correspondence.

Undertake audits of the medical device asset register for the purposes of planning equipment replacement.

Review equipment reliability statistics to support equipment replacement planning.

Support the assessment of risk based medical device replacement programmes.

Support the planning and preparation of a three-to-ten-year MDIP across multiple medical devices and imaging modalities using risk profiling techniques.

There is a possibility for this post to become a permanent position, subject to funding and service needs, with potential development opportunities, leading to a Band 5 for the right individual, subject to successfully meeting their learning objectives identified during their yearly Appraisal and developing the necessary skill set, knowledge and experience throughout their employment.

Job responsibilities

Participate in the assessment, planning and delivery of the Medical Devices Investment Programme (MDIP).

Participate in the risk-based assessment of the medical devices inventory for the purposes of replacement planning with clinicians and device users.

Undertake audits of the device inventory for the purpose of validation and replacement planning.

Review equipment reliability statistics to support equipment replacement planning.

Meet with clinicians and device users with the project lead to understand requirements and support the development of Device Specifications.

Attend meetings with suppliers (with Medical Devices Project Team member(s)) to understand the capabilities benefits and limitations of available and future technology.

Participate in project and reference group meetings relating to the replacement and acquisition of medical devices.

Support the Medical Devices Acquisition Project Team in providing support to Service Line Managers in the development of business and service delivery plans requiring investment in the replacement or acquisition of medical devices.

Support clinical staff and appointed clinical educators to arrange device training related to the medical device replacement and acquisition.

Help arrange and support clinical evaluations and trials required of device tenders with all parties, internal stakeholders, and external company representatives.

Assist in the provision of compliance assurance relating to device replacement and acquisition.

Support the Clinical Engineering Service in matters relating to device replacement, acquisition, delivery, and commissioning.

Maintain records of risk assessments, replacement plans, replacement projects, technology assessments, specifications, and pre-acquisition questionnaires.

Communicate with specialist advisors and service providers in relation to the replacement and acquisition of medical devices.

Person Specification


Knowledge & Experience

* oPrevious demonstrable experience in an administrative role.
* oGood core desktop IT and administrative skills, including use of Microsoft Office Suite, with ability to generate, manipulate and report information.
* oDemonstrable experience in the extraction of information from database systems
* oGood understanding of computer systems
* oGood knowledge of medical terminology
* oPrevious demonstrable experience in a healthcare setting in an administrative role.
* oDemonstrable experience of working in a clinical healthcare setting (e.g., HCA Level 2/3) that uses medical devices.
* oProven knowledge of a range of medical devices equipment used across clinical applications.
* oBasic understanding of radiation protection legislation and safety.
* oProven knowledge of IT Governance principles and legislation as applies to healthcare environments.
* oBasic proven knowledge of Health and Safety risk management.
* oProven knowledge and understanding of local and national NHS procurement and financial processes.


Qualifications

* o3 GCSEs or equivalent at Grade C or above, including Maths, English and a Science or equivalent.
* oLevel 3 in Business Administration or equivalent.
* oIT qualifications equivalent to ECDL or NVQ's and familiar with all aspects of Microsoft office
* oLevel 4 in Business Administration or equivalent
* oGood communication skills and ability to communicate effectively with a range of individuals and groups.
* oAble to prioritise, manage and plan work for self.
* oAbility to work within a busy environment and meet reasonable deadlines.
* oProven demonstrable experience in facilitating telephone discussions and relaying accurate message taking and recording of issues.
* oGeneral understanding of technologies underpinning medical devices.
* oAbility to accurately record and present information to a high standard including minutes/notes of meetings.
* oAbility to deal with difficult situations and conversations in a professional manner.
* oHonesty, integrity, and respect for confidentiality.
* oGood interpersonal skills.
* oAble to work effectively within a team and alone.


Other Factors

* oOccasional requirement to work at, and travel between, other sites as necessary.
* oRequirement to work with, and within, clinical and non-clinical departments.
* oConfidentiality of information (patient/ commercial).
* oManual dexterity: ability to operate VDU equipment; able to exert moderate physical effort including movement of consumables / paperwork/ medical equipment.
* oOccasional requirement to lift and move equipment (moderate physical effort).
* oAbility to work from home/remote working as necessary.
