The Executive Assistant will provide high-level administrative support to the CEO of Stanley Ley business and Harris and Zei, ensuring efficient operation and management of the executive office. This pivotal role involves meticulously managing daily schedules, facilitating seamless communication between the CEO and key stakeholders, coordinating critical meetings, and overseeing special projects to champion business initiatives.
Key Responsibilities
* Administrative Support: Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and comprehensive travel arrangements.
* Prioritize and respond to emails, phone calls, and other communications on behalf of the CEO.
* Prepare detailed meeting agendas, reports, presentations, and correspondence as needed.
* Meeting Coordination: Organize, attend, and accurately take minutes during executive meetings.
* Coordinate board meetings and prepare all necessary materials.
* Ensure diligent follow-up on action items from meetings to drive completion.
* Communication Liaison: Serve as the primary point of contact between the CEO, internal teams, and external partners.
* Handle confidential information with the utmost discretion and professionalism.
* Draft and meticulously edit communications for the CEO, including internal memos and external business correspondence.
* Project Management: Assist with special projects as assigned by the CEO, including thorough research, data collection, and coordination with other teams.
* Track project timelines and progress, ensuring that all deadlines are consistently met.
* Travel and Event Coordination: Plan and coordinate domestic and international travel, including accommodations, detailed itineraries, and logistics.
* Organize corporate events, conferences, and off-site activities for the CEO.
* Office and Executive Operations: Develop and implement administrative systems and procedures to continuously enhance office efficiency.
* Prepare expense reports and manage budgets for the executive office.
* Handle personal tasks for the CEO as required, maintaining high levels of trust.
Qualifications
* Education: Bachelor's degree in Business Management, Communications, or a related field preferred.
* Experience: 5+ years of experience as an Executive Assistant, preferably within a corporate or entrepreneurial setting.
* Skills: Strong organizational skills with the ability to manage multiple tasks and competing priorities effectively.
* Excellent verbal and written communication skills.
* High level of attention to detail and accuracy.
* Ability to handle sensitive and confidential information with discretion.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other productivity tools.
* Strong problem-solving skills and a proactive, solutions-oriented attitude.
