Hours: 25-30 hours per week over 5 days
Salary: £27,500 full-time equivalent (based on a 37.5 hour working week)
Holiday: 20 days annual leave plus bank holidays

Role Overview
The Office / eCommerce Assistant plays a key role in supporting the day‑to‑day operations of the business, with a strong focus on eCommerce order fulfilment, stock and inventory management, customer service, and administrative support. This role ensures that orders are processed accurately and efficiently. Another major part of the role includes working with the CEO on account reconciliation to support the finance side of the business.
Key Responsibilities
eCommerce Support
* Ensure all eCommerce and internal orders are fulfilled accurately and within agreed SLAs.
* Pick, pack, label, and dispatch orders using relevant shipping platforms and couriers.
* Maintain high order accuracy standards and meet delivery SLAs.
* Manage incoming stock, checking deliveries against expected quantities and updating systems promptly.
* Maintain accurate inventory records.
* Take ownership of stock room organisation, ensuring all items are stored correctly and warehouse standards are consistently met.
* Carry out regular and quarterly stock checks and highlight discrepancies or low stock levels to the wider team.
* Manage packaging and consumables stock levels and flag when reordering is required.
* Ensure online inventory levels are accurate to avoid overselling or customer disappointment.
* Support marketplace operations, including preparing and sending stock to fulfilment centres and monitoring inventory availability.
* Review sales and stock levels regularly to inform replenishment requirements.
* Attend weekly team meetings, providing updates on operations, issues, and taking initiative to identify improvements in processes, systems, and ways of working.
* Support invoicing, billing, and account reconciliation using accounting software.
* Raise and send invoices where required and follow up on outstanding payments.
* Develop a strong understanding of internal financial processes to support the wider team.
* Provide general administrative support to the office and operations team as needed.
Customer Service
* Provide high‑quality customer service to customers, franchisees, and internal stakeholders.
* Monitor shared inboxes regularly and respond to queries in a timely and professional manner.
* Resolve order, delivery, and stock‑related issues efficiently, escalating where appropriate.
* Ensure customer feedback and issues are logged and tracked to support continuous improvement.
Product & Marketing Support
* Prepare and dispatch product samples and marketing materials as requested.
* Ensure promotional materials are included with orders when required and appropriate.
* Support events and conferences by preparing, packing, and organising stock and materials.

* Experience in eCommerce operations, order fulfilment, or stock management – Desirable.
* Experience using accounting or invoicing software – Desirable but not essential.
