Are you a meticulous organizer looking to break into the world of B2B digital marketing? Quickfire is a leading Shopify Plus web development agency, and we are looking for a proactive Marketing Assistant to become a core part of the operational engine of our marketing team.
This is a 70% administrative and support-heavy role. You will be responsible for the “behind-the-scenes” mechanics that allow our campaigns, partnerships, and events to run flawlessly. In exchange, you will receive unparalleled exposure to the e-commerce ecosystem, working alongside experts in PR, SEO, Copywriting, and Campaign Management, as well as our global network of tech partners.
In a nutshell, you’d be responsible for…
* Data Management & CRM Hygiene
o Lead Processing: Monitor whitepaper downloads and contact form submissions, accurately extracting brand data from email notifications into master spreadsheets and our custom CRM running on Airtable.
o Prospect Journey Monitoring & Tracking: Monitor successful touch points across prospects and accurately track these.
o CRM Optimization: Maintain our Brevo (email marketing) database by ensuring all contact records (Names, URLs, Company details) are complete and formatted correctly.
o List Management: Handle CSV uploads for monthly newsletters and master retailer event lists, performing “data cleansing” to exclude non-brands or competitors.
* Event & Partnerships Support
o Event Logistics: Manage attendee lists via Eventbrite, including processing cancellations and professional communication with guests.
o Co-marketing Coordination & Support: Assist the marketing team in managing cross-team collaborations and co-marketing projects; act as a point of contact for tech partners; supplying brand assets, tracking timelines, and ensuring partners have what they need for successful collaborations.
o Direct Mail & Gifting: Manage the end-to-end process for our corporate gifting (for partnerships).
o Speaker & Panelist Coordination: Support our events by drafting and refining slide decks for guest speakers and panelists, while ensuring all content aligns with our brand guidelines.
* Operational & Team Assistance
o Project Coordination: Support the team with “housekeeping” tasks across internal and external folders, ensuring assets are organized and access is granted to the right stakeholders.
o Meeting Mastery: Attend team meetings to capture clear, actionable notes and track progress on follow-up tasks.
o Diary Support: Assist with diary management, including setting placeholders and coordinating schedules across Sales, Marketing, Events and Partnerships.
* Ad-hoc Marketing Support
o Provide “hands‑on” assistance to the team members managing marketing activities.
Support the coordination of agency events and partner marketing initiatives.
General administrative tasks and ad‑hoc support on request to ensure the smooth day‑to‑day running of the department.
