All Age Safeguarding Administrator

An exciting opportunity has arisen to work as part of the All Age Safeguarding administration team on a fixed term contract to cover maternity leave. We are looking for a dynamic and motivated individual, who will fit well into a multi discipline, multi-agency team.

The Safeguarding team deals with information that can be upsetting on a daily basis, and because of that this post would suit a candidate who can demonstrate resilience, maturity, calmness under pressure and supreme professionalism.

The successful candidate will have excellent written and verbal communication skills as well as experience of a busy office environment. We are looking for a team player who has great interpersonal skills. Due to the often changing nature of the work this role would suit a person who has strong time management skills and the ability to prioritise effectively.

PLEASE NOTE – we cannot offer sponsorship for this role. If you hold a Graduate/Post Study work visa, you will only be able to work this role fixed term until the expiry date of your visa.


Main duties of the job

As an administrator you will be involved with all the functions of this busy team. You will provide full administrative support to the Safeguarding professionals in the team which will include answering the telephone, diary management, data entry, minute taking, organising training, liaising with internal staff and external agencies, alongside the usual administrative tasks.

You will be working with some of the Trust's electronic record systems to research, record and input data. You will handle telephone and email enquiries from staff and be expected to signpost them to the necessary information and have a good knowledge of the work performed by the Trust as a whole.

Qualifications

* GCSE Maths


Experience

* Minimum of 2 years experience in an administrative role
* Able to demonstrate a comprehensive knowledge of administrative procedures and the ability to undertake associated tasks ensuring adherence to defined procedures and guidelines
* Demonstratable experience in dealing with sensitive and confidential information.
* Previous NHS experience
* Understand the role and responsibility of the Safeguarding Adults team
* Previous experience of working within a busy administrative team
* Able to demonstrate evidence of own personal development
* Experience of supporting and taking minutes of meetings


Skills

* An ability to maintain confidentiality and trust
* Able to demonstrate ability to input data accurately/efficiently
* Able to demonstrate organisational and diary management skills to include co‑ordination of meetings and associated duties.
* Used to working via virtual meetings and using a headset.


Knowledge

* Demonstrate ability and knowledge to utilise various software packages to include Microsoft Office Applications, i.e. word, excel etc
* Understanding of Confidentiality and Data Protection Act.
* Demonstrate a higher level off IT knowledge, specifically producing reports from Excel spread sheets
* Knowledge of NHS Electronic Staff records in relation to recording training
* Demonstrate knowledge of electronic patient information systems
