Position Overview
The Radiology Department at the Norfolk & Norwich University Hospital is seeking a highly motivated and enthusiastic admin professional to join our team as a Radiology Medical Secretary. This is an exciting opportunity to join our small team of secretaries in a varied and demanding role that requires organisation, teamwork, and a flexible, can‑do attitude.
This is a full‑time position of up to 37.5 hours per week and is based at the Norfolk & Norwich University Hospital. A requirement of the role is on‑site presence; however, once fully trained and competent a weekly hybrid working pattern, combining days onsite at NNUH and days at home, will be considered.
The main responsibility of this role is to provide a secretarial and PA service to our Consultant Radiologists and to deliver clerical support in relation to imaging services. You will act as a point of contact for all communications between Consultants, patients, relatives, hospital staff, general practitioners and external agencies, maintaining a close working relationship between Consultants and patients as appropriate. You will assist in the office administration of the Consultant and designated clinical team, and provide an effective administrative service including supporting departmental meetings, agenda preparation and minute taking.
Key Responsibilities
1. Deal efficiently and effectively with direct and indirect (telephone, face to face) enquiries from patients, medical and nursing staff, GPs, social services and other health professionals, providing routine and non‑routine information and non‑clinical advice, and resolving problems where possible.
2. Attend to all communications, such as emails and investigation results on a daily basis, prioritising and actioning as required.
3. Maintain paper and electronic diaries for relevant senior managers and radiologists, making travel arrangements and booking accommodation.
4. Accurately transcribe all correspondence from audio/digital dictation and electronic communication using knowledge of medical terminology, and generate routine and non‑routine correspondence independently.
5. Arrange and support meetings as necessary, including gathering material, setting agendas, room booking and minute taking.
6. Promptly action clinical investigations, results and outcomes, utilising Trust reports to service and administer waiting lists (outpatient, inpatient and local waiting lists), escalating to senior staff as required.
7. Demonstrate and maintain knowledge and understanding of Trust RTT policy.
