Your future role

As the Site Documentation Manager, you will establish and oversee the Documentation Management process within the Project, Program, or Bid organisation. You will serve as the primary point of contact for all documentation-related matters with Customers, Partners, the core team, and all involved functions—ensuring alignment on documentation requirements and contractual deliverables. You will ensure that all project documentation is systematically archived and play a proactive role in fostering a strong documentation culture throughout the Project, Program, or Bid lifecycle.

We’ll look to you for:

1. Is responsible, within its team, of the deployment and execution of the documentation management process,
2. Create and updates Documentation Management Plans (DMP) in line with the customer contractual requirements and shares it with project internal stakeholders.
3. Define and Deploy the Documentation numbering system and Project Working documents single repository (in Teams, Sharepoint, etc...)
4. Manage the documentation management internal & external requirements.
5. Follow and make sure rules defined in the DMP are understood and applied by every team member
6. Create the formatting of official Alstom templates according to contractual requirements & ensure that stakeholders use them
7. Collect all documents (inputs) from the Project and place them in Project DML (Documentation Master List)
8. Coordinate all the DMLs to obtain the complete version of the project (a single final version) if we have several product line DMLs.
9. Ensure documentation is properly validated before any submission to Customer
10. Adapt and implement the documentation structure in accordance with standards.
11. Manage, Setup and deploy EDMS (Electronic Document Management System) with tools support team & train new users and manage access right to EDMS.
12. Participate in configuration & change reviews to guarantee integration in all activities of the team members that are involved with documentation.
13. Define & analyse documentation reporting, indicators to be provided by Documentation Controller and report analysis to its department head, PM& Core Team Manager, team members and Customer (when required).
14. Monitor the document milestones associated with payment milestones and alerts Project/Program/Bid Manager in case of risks (delays) and prepare related reporting
15. Participate in Gate review, Internal and External quality inspection.

17. Good Knowledge in MS office and Analytical tools
18. Good Knowledge in preparing dashboards and KPI
19. Good knowledge of project documentation standards and some project management experience
20. Ability to understand engineering and industrial processes
21. Ability to contribute or drive construction, implementation, and running of EDMS tool on a project
22. Structured Way of Working (Process Oriented, capability to diagnose complex situations with continuous Improvement mindset)
23. Ability to challenge project team, good Communication and interpersonal skills, excellent team worker. Capability to work with multi-sites & international teams
24. Know notions of change and configuration management
25. Fluent in English
