We are looking for a diligent and enthusiastic Front Office Assistant (32 hours per week) within Quarter Short Lets. Working with the team at our Head Office in Clifton, our ideal applicant will be proactive, organised and have great people skills. This is a friendly and fun team who operate at a high level - we're looking for someone who can fit in from the first day and help us move this department forwards! How Quarter Short Lets operates: Quarter Short Lets is part of Quarter – an established, independent community of hospitality businesses that has been satisfying guests for over 60 years! Quarter Short Lets is comprised of two brands: Clifton Short Lets and Host360. The Clifton Short Lets department runs short-term letting in our shared houses in Clifton, and Host360 manages bookings and housekeeping for short-term holiday and corporate lets across Bristol. Key details for the Front Office Assistant position: 32 hours per week worked over 4 days to include one full weekend per month Shift times are either 8am - 4pm, 9am - 5pm or 10am - 6pm Salary package of £21,826 - comprising a basic salary of £20,841 per annum (based on 32 hours per week) and on target bonus of £985 per annum (this is pro rata of full time package of £25,400 plus £1200 in bonuses) What the Front Office Assistant role entails: Reporting to the Assistant Manager, our Front Office Assistant will be involved in the following: Maintaining and improving the unit’s reputation as a premier short lets and rental provider Conducting property viewings, selling rooms and making reservations in properties for Clifton Short Lets and Host360 managed properties Issuing new guests with all relevant paperwork Responding to email enquiries sent to the central Clifton Short Lets and Host360 email inbox Liaising with Host360 property owner enquiries alongside and in the absence of the Account Executive New property onboarding admin: compiling guest handbooks, cleaning checklists, updating internal information sources Organising and conducting check ins and check outs according to company procedure Taking payments according to company procedure Responding to guest enquiries and complaints according to company procedures Maintaining and updating web distribution channels regarding room sales Responsible for all keys, ensuring the monitoring of who is in possession of the keys and making sure we always have a spare key for each room/property Resolving maintenance issues reported by guests and housekeeping by liaising with property owners and the Property Development team Working to a rota that includes working one weekend in three (on weeks that the weekend is worked, two mid-week days off will be given) - this will be decreasing to one in four weekends within the next couple of months. Our ideal candidate: While this role is office based, it is also customer facing. The successful applicant will have excellent customer service skills and, ideally, some experience in the hospitality sector. The ability to multi-task and prioritise is very important, as well as being able to work well under pressure. We are looking for a reliable, organised person who shows initiative! Our ideal Front Office Assistant will be confident and a great communicator, able to handle any enquiries in a welcoming and professional manner. Previous experience using a hospitality property management system or channel manager will be advantageous, but not mandatory, as training will be provided to candidates who haven't used them before. A good understanding of Microsoft Office is required. What can we offer you?
