Job Summary:
The Manager/Specialist/Coordinator, Contracts & Referral Partnerships is responsible for the oversight, negotiation, and performance management of both third-party referral partnerships and service/vendor contracts across the senior housing portfolio.
This role ensures all contractual relationships—ranging from referral partners to maintenance and service providers—are financially sound, operationally efficient, and aligned with regulatory standards and organizational goals. From contract negotiation through service delivery, move-in verification, and final payment reconciliation, this position plays a critical role in driving occupancy, controlling costs, and supporting high-quality resident experiences.
Preferred Qualifications:
1. Worked in a similar role for 2-3 years.
2. Experience in senior living, healthcare, or residential property management.
3. Familiarity with regulatory standards in senior housing.
4. Strong knowledge of contract law and vendor management.
5. Excellent organizational, negotiation, and communication skills.
Key Job Duties and Responsibilities
1. Contract & Partnership Management
6. Develop, negotiate, and manage contracts across two key areas: Third-party referral partners (e.g., A Place for Mom, CarePatrol) Service and maintenance vendors (HVAC, landscaping, housekeeping, snow removal, plumbing, electrical, waste, janitorial, elevators, fire/life safety, pest control, generators, etc.)
7. Ensure all agreements align with company policies, budget expectations, and regulatory requirements
8. Track contract terms, renewal dates, performance benchmarks, and service level agreements (SLAs)
9. Partner with Sales and Marketing leadership to evaluate, onboard, optimize, or sunset referral partnerships based on performance and strategic fit
2. Referral Management & Move-In Verification
10. Validate referral-to-move-in conversions prior to commission payout
11. Collaborate with community teams and Sales leadership to confirm residency status and eligibility
12. Maintain accurate documentation and audit trails tied to all referral activity and financial obligations
13. Monitor partner performance, lead quality, and conversion effectiveness across markets
3. Invoice Processing, Reconciliation & Financial Coordination
14. Review, validate, and reconcile all invoices (referral and vendor) against contract terms, internal systems, and confirmed services or move-ins
15. Identify and resolve discrepancies between partner/vendor reporting and internal records
16. Approve invoices only after full reconciliation and verification of services rendered or move-ins achieved
17. Partner with Accounts Payable to ensure accurate and timely payment processing
18. Track and manage spend across referral and maintenance categories, identifying trends, savings opportunities, and risks
4. Vendor & Partner Coordination
19. Source, evaluate, and manage vendor relationships based on quality, compliance, pricing, and performance
20. Maintain strong relationships with referral partners and service providers, addressing issues proactively
21. Facilitate onboarding of new vendors and partners, ensuring alignment with operational expectations and resident experience standards
22. Act as primary liaison between external partners and internal stakeholders
5. Compliance & Risk Management
23. Ensure all contracts comply with local, state, and federal regulations (OSHA, ADA, fire/life safety, etc.)
24. Monitor vendor certifications, insurance, licensing, and compliance documentation
25. Support audits and inspections, ensuring all contract-related documentation is accurate and accessible
26. Mitigate financial and operational risk through strong contract oversight and enforcement
6. Community Support & Operational Alignment
27. Partner with community leadership to identify maintenance needs, service gaps, and long-term capital considerations
28. Support field teams in navigating vendor relationships and referral processes
29. Ensure services delivered meet quality standards, timelines, and resident expectations
7. Data Management & Reporting
30. Maintain centralized tracking systems for: Active referral partners by region Contract terms and rates Vendor contracts and performance metrics
31. Provide regular reporting to leadership on: Referral partner ROI and conversion performance Vendor performance and cost efficiency
32. Ensure full documentation and traceability for all contract activity
8. Cross-Functional Collaboration
33. Collaborate with Sales, Marketing, Operations, Finance, Legal, and Procurement teams
34. Serve as a strategic partner to VP-level leadership on both growth (referrals) and cost control (vendor contracts)
35. Align contract strategies with broader organizational goals, including occupancy growth and operational efficiency
