Job Purpose
Provision of effective and efficient administration support for operational processes that maintain the effective running of the College of Arts & Humanities and its constituent Schools. Although initially based in the School of Modern Languages & Cultures, the role holder may be deployed across the College to meet current operational needs. As a progressive and evolving institution, the University adopts new systems and ways of working, providing opportunities for skill development.
Main Duties and Responsibilities
1. Provide flexible administrative and clerical support within the School of Modern Languages & Cultures Administrative Office.
2. Offer high-quality in person reception support and handle all enquiries, redirecting as appropriate.
3. Assist with administration of courses, including clerical duties related to course administration and admissions.
4. Support the production of teaching materials, updating handbooks, web, and Moodle content.
5. Assist with School purchasing activities, liaising with Overseas Agents for commission payments.
6. Help with student recruitment, seminars, and event management, collaborating with colleagues.
7. Undertake other reasonable duties as required.
8. Engage in professional development activities.
9. Support staff and student administrative needs across the School.
Knowledge, Qualifications, Skills, and Experience
Essential:
* A1 SCQF Level 4 or equivalent, preferably in English and Mathematics, with relevant work experience.
* C1 Accuracy and attention to detail.
* C2 Good IT skills, especially Microsoft Office.
* C3 Good time management and prioritization skills.
* C4 Excellent administrative and secretarial skills.
* C5 Effective communication skills.
* C6 Discretion and confidentiality.
* C7 Ability to work independently, under supervision, or as part of a team.
* C8 Ability to meet deadlines in a time-constrained environment.
* C9 Ability to draft routine correspondence.
* E1 Experience in similar roles demonstrating required competencies.
* E2 Effective customer interaction experience.
Desirable:
* F1 Experience in higher or further education settings.
Terms and Conditions:
Salary: Grade 3, £21,900 - £22,681 per annum. Full-time (35 hours/week), permanent position. Benefits include generous leave, pension, flexible working, and health & wellbeing support.
