About the role
We are now recruiting for an exceptional EA & Administration Lead to head up our talented Executive Administration team.
The ideal candidate will be a team leader, team player and experienced collaborator, who has also provided tailored support to senior managers in a commercial and fast-paced environment. You will be a motivated professional with an ability to communicate with all levels in a clear & polite manner and provide clear instruction as required.
The role will also manage the day to day running of our two UK offices (South West and South East). You will manage all office services to employees and visitors, including surroundings, security, reception, office equipment, supplies, deliveries and post, co-ordination of minor maintenance, Health & Safety, Fire Procedures, First Aid and Accident books.
You will have excellent customer service with the ability to remain calm and professional during periods of high pressure and conflict. You will have previous office experience and previous budget management experience is preferred. You will be proactive with a natural talent to prioritising whilst working cohesively as part of a team.
Key Responsibilities Include:
• Provide high quality EA, co-ordination, secretarial and administrative assistance to the Managing Director.
• Provide ad hoc PA support to other European Leadership Team members.
• Manage Daily itineraries - often complex.
• Manage expenses for Managing Director and other Leadership Team members when required.
• Book all travel for the Managing Director along with the occasional travel requirements for the Leadership Team members.
• Arrange and lead on all administration support for board visits.
• Ensure all general operational matters in connection with the office buildings and surroundings are functioning efficiently, ensuring up-keep as appropriate.
• Manage the facilities budget for the office and to ensure expenditure for the building is within budget.
• Complete daily administrative tasks - raising purchase orders, sample requests etc.
• Prepare, circulate and maintain reports and records of the agenda and actions for various meetings.
• Lead on European Projects as directed by the Managing Director.
• Co-ordinate and support on Customer.
• Ensure the cleanliness of the office by management of the office cleaners and to be responsible for housekeeping matters; incl, tea, coffee, milk ordering for the office.
• Lead the Administration and EA team in line with Company values and policies.
Other Accountabilities Include
• Maintain health & Safety for building incl. any fire alarm training
• Assist with small maintenance duties
• Ensure any accident or incident is logged timely and correctly
• Manage and co-ordinate the internal Monthly Charity Committee
• Ensure confidentially, internally and externally at all times.
What You’ll Bring:
• Experience: At least 5 years office experience in a similar role
• Advanced Microsoft Office skills
• PRINCE2 or Project Management experience desirable
• Excellent verbal and written skills
• Basic financial management understanding
• Good telephone manner
• First Aid trained preferred
• Fire Warden trained preferred
• A moderate level of physical exertion may be required to assist with day-to-day requirements
