The Inventory Assistant supports efficient inventory management across medicines, consumables, and medical equipment, ensuring accurate records, regulatory compliance, and proper storage conditions. The role involves receiving, checking, storing and dispatching stock to multiple clinics while reporting to the Procurement Manager and assisting procurement services.

Responsibilities


Inventory Management

* Maintain accurate inventory records for medicines, consumables, and medical equipment using ERP systems.
* Apply FIFO/FEFO principles to stock rotation.
* Support periodic, cycle counts and inventory audits.
* Monitor stock levels and raise reorder requests as needed.
* Compile reports on inventory discrepancies.


Goods Receipt & Inspection

* Receive incoming deliveries and verify quantities, batch numbers, expiry dates and documentation against purchase orders.
* Report damaged, expired or non‑compliant items to the line manager.
* Enter received stock into the ERP system.


Storage & Handling

* Store goods in accordance with manufacturer and regulatory requirements, including temperature‑controlled storage where required.
* Segregate quarantined, expired or recalled stock under guidance from the line manager or quality control department.
* Maintain cleanliness and organisation of storage areas, including fridges.
* Monitor temperature of store locations daily and update records.


Order Picking & Distribution

* Pick, pack and prepare stock accurately for dispatch to multiple clinics/sites.
* Ensure correct labelling, documentation and packaging standards.
* Coordinate timely dispatch in line with clinic delivery schedules and liaise with transport partners.


Compliance & Safety

* Follow health and safety guidelines, including safe handling of medicines and equipment.
* Maintain audit‑ready documentation and records (e.g., temperature logs).
* Adhere to infection‑control protocols and policies.


Systems & Reporting

* Update inventory systems with stock information during transfers, receipts and stocktakes.
* File documents pertaining to purchase records.
* Assist in process improvements within inventory operations.


Key Skills & Competencies

* Strong attention to detail and accuracy.
* Good communication and teamwork skills.
* Ability to work independently and use initiative.
* Good organisational and time‑management skills.
* Basic to intermediate Excel skills.
* Knowledge of inventory control principles (FIFO/FEFO).
* Understanding of health and safety practices in a warehouse or store environment.


Qualifications & Experience – Essential

* Previous experience in stock control, warehousing or inventory management.
* Experience in receiving, checking, storing and dispatching goods.
* Experience using inventory or ERP systems such as Sage or Oracle.
* Experience working in a fast‑paced operational environment.
* Experience handling consumables or general stock items.
* Experience coordinating with multiple stakeholders.
* GCSEs or equivalent in Maths and English.
* Basic IT literacy (e.g., Microsoft Excel, email systems).


Qualifications & Experience – Desirable

* Experience within a healthcare, pharmaceutical or clinical environment.
* Experience handling medicines or medical equipment.
* Experience supporting audits, stock counts or compliance processes.
* Relevant qualification in Supply Chain & Logistics.
* Certification or training in inventory or stock control systems.
* Knowledge of healthcare storage standards (e.g., temperature‑controlled storage, cold chain).
* Understanding of regulatory compliance in healthcare or pharmaceuticals.
* Awareness of infection prevention and control practices.
* Analytical skills for identifying discrepancies and reporting issues.
* Problem‑solving skills in stock and logistics operations.
* Ability to contribute to process improvements.


Working Conditions

* Manual handling of goods daily and standing for extended periods.
* Work in controlled environments, including cold areas.


Employment Details

* Salary: £15.17 per hour.
* Contract type: Permanent.
* Working pattern: Full‑time, Monday to Friday, 7.5 hours per day.
