As part of our continued growth, we are looking for a highly organised, detail-oriented Office Administrator to support the daily operations of our Stanmore-based office. Key Responsibilities Office Administration: Manage incoming calls and general enquiries, maintain both digital and physical filing systems, take meeting minutes, and provide administrative support to management and internal teams. Tenant & Lease Administration: Serve as a key point of contact for tenants, manage lease data and rent schedules, support the preparation of lease documents and notices, and assist with tenant onboarding and exit processes. Property Operations: Coordinate maintenance requests, liaise with contractors and managing agents, ensure timely resolution of property issues, and maintain accurate records of site visits and compliance activities. Finance & Accounts Administration: Reconcile company bank accounts daily, process supplier invoices, issue monthly tenant invoices, chase overdue payments, and manage lease-related invoicing through the Fraxion platform. Procurement & Supplier Management: Monitor and replenish office supplies, obtain and compare supplier quotes, and assist in securing insurance and EPC quotes as needed. Operational Support: Maintain internal spreadsheets and tracking documents, arrange travel and accommodation for staff, and assist the property team with tenant follow-ups and vacancy outreach. General Administrative Duties: Provide support across the business with various ad-hoc administrative tasks to ensure smooth day-to-day operations.
