Description
We are recruiting for an Administrative Assistant to join our small and friendly team at West Yorkshire Police Federation. This role is part-time, working 21 hours, over 3 days per week.
Days to be covered are Monday, Wednesday and Friday. There may be some flexibility to swap Wednesday to either a Tuesday or Thursday, and can be discussed in interview.
We are ideally situated, close to public transport but we also have parking on site.
To assist in the smooth and efficient running of the West Yorkshire Police Federation Office. To provide clerical and administrative support to the Federation executive, Federation members and others in which all matters are dealt with professionally, discreetly and regarded as confidential.
Key Responsibilities
* Greeting and booking in visitors at Reception
* Taking and logging enquiries from members and others by phone or email or in person and deal with or signpost as required
* Database input and updates
* Book in house meeting rooms
* Booking appointments for our various surgeries/clinics/seminars
* Administer information and claims for our Federation Group Insurance Scheme
* Receive, record, and prepare routine correspondence (e mails, letters, telephone enquiries etc), from West Yorkshire Police Federation customers
* Prepare information packs for student joiners, transferees, and special constables
* Process joining and cancellation forms by logging on database and spreadsheets
* Booking appointments for our in-house physiotherapy service
* Ensure compliance with our office security and access policy
Skills, Knowledge and Expertise

Previous administrative / clerical experience and administration and IT skills
Good numeracy, literacy, and communication skills (English and Maths GCSE or equivalent)
Ability to undertake training in relation to Federation products, procedures, structures, and key areas of business
Ability to contribute to the efficient running of the office
