The Plant Administrator will be responsible for providing administrative support to the plant department, including coordinating equipment maintenance, managing inventory, and assisting with procurement activities.

Key Responsibilities

* Equipment Maintenance: Coordinate maintenance schedules for plant machinery and equipment. Schedule servicing, repairs, and inspections with internal maintenance teams or external service providers. Maintain accurate records of maintenance activities and equipment status.
* Inventory Management: Manage inventory of plant machinery and equipment. Track stock levels, monitor equipment availability, and update inventory records as needed. Coordinate with suppliers to replenish stock and ensure timely delivery of equipment.
* Equipment Allocation: Assist in coordinating the allocation and scheduling of plant machinery and equipment for construction projects. Liaise with project managers and site supervisors to fulfil equipment requests and ensure timely delivery to project sites.
* Procurement Support: Assist in the procurement process for new equipment and spare parts. Generate purchase orders, obtain quotes from suppliers, and coordinate delivery arrangements. Verify order details, quantities, and specifications to ensure accuracy.
* Documentation and Filing: Maintain organised documentation related to plant operations, including equipment manuals, warranties, and service agreements. File and archive documents in accordance with company policies and procedures.
* Data Entry and Reporting: Enter data into plant management software or databases to update equipment records, maintenance logs, and inventory information. Prepare regular reports on equipment utilisation, maintenance activities, and inventory levels.
* Communication and Coordination: Communicate with internal departments, suppliers, and vendors to facilitate smooth operations of the plant department. Address inquiries, resolve issues, and provide assistance as needed.
* General Administrative Tasks: Provide general administrative support to the plant department, including answering phone calls, responding to emails, and assisting with other administrative tasks as required.


Skills, Knowledge & Expertise

* Previous experience in administrative support role, preferably in a construction or plant-related environment.
* Strong organisational skills and attention to detail.
* Proficiency in Microsoft Office suite (Word, Excel, Outlook).
* Familiarity with plant machinery and equipment is advantageous but not required.
* Excellent communication and interpersonal skills.
* Ability to multitask and prioritise tasks effectively in a fast-paced environment.
