Overview of the job
This is an administrative role within the Probation Service.
Summary
The job holder will provide administrative support within the Probation Service (PS), ensuring efficient processes to support staff and individuals on probation. They will maintain administration systems within specified timescales to promote team and divisional objectives. The role requires adherence to PS policies and demonstrates a commitment to equality and inclusion. Some out-of-hours work may be involved. The post holder must handle sensitive/confidential information responsibly and comply with all relevant policies.
Responsibilities, Activities & Duties
* Set up and maintain accurate records of people on probation and victims on approved databases.
* Administer referrals and manage relationships between offender management, victims, interventions, service providers, and external agencies to promote positive outcomes and reduce reoffending.
* Prepare, maintain, and collate case records, files, and management information according to standards.
* Handle information and communications via telephone, paper, and email appropriately.
* Provide coverage for reception and telephone enquiry services.
* Act as a point of contact within the unit for specific areas of work.
* Deal effectively and fairly with individuals on probation, including those in crisis or displaying challenging behavior, seeking support as needed.
* Arrange appointments and directions for Sentence Plan implementation.
* Perform enforcement administration tasks.
* Manage petty cash, vouchers, and warrants for travel costs, maintaining proper records.
* Organize equipment and materials for case management activities.
* Report faulty equipment and arrange replacements or repairs.
* Maintain systems for resource management and suggest improvements.
* Undertake Visor administration tasks as per procedures.
* Attend and support meetings, including organizing agendas and taking minutes.
* Ensure activities comply with Health and Safety policies, including equipment testing.
* Provide cover within the unit and other units as needed.
* Carry out safeguarding duties in line with statutory responsibilities and policies.
* Model pro-social behavior, challenge anti-social attitudes, and promote positive behavior.
* Work within the aims and values of PS and HMPPS.

Ability to communicate confidently in English or Welsh (in Wales).
