The Role
* Title: Portfolio Manager
* Hours: Monday to Friday, 9am - 6pm. Attendance at evening meetings with clients on an ad hoc basis, with time off in lieu.
* Reports to: Portfolio Director / Associate Directors
* Holiday: 25 days plus bank holidays, as per employment contract
Overview
The Portfolio Manager is responsible for the day-to-day management of their own portfolio of properties, which may include various property types and clients (freeholders, RMCs, RTMs, developers). You will be the main point of contact for all property-related matters, supported by a team. The role requires adaptability to a fast-paced environment and a desire to develop with the company.
Day-to-Day Responsibilities
* Liaising with tenants, leaseholders, freeholders, and boards of directors to manage expectations.
* Handling maintenance issues, obtaining quotations, and communicating with contractors.
* Responding promptly to inquiries via phone, email, or post.
* Managing disputes or complaints from leaseholders.
* Performing property searches via Land Registry.
* Overseeing maintenance progress and ensuring system updates.
* Managing health and safety, fire risk assessments, asbestos, and compliance issues.
* Issuing Section 20 Notices, liaising with surveyors and insurance brokers, and managing claims.
* Administering keys, fobs, permits, and managing access for contractors and residents.
* Participating in out-of-hours emergency contact rotation.
Reporting and Meetings
* Conducting monthly management visits and preparing reports.
* Attending weekly portfolio review meetings.
* Participating in quarterly client meetings and preparing reports.
* Attending EGMs and AGMs, and running residents' meetings as needed.
* Issuing meeting minutes promptly.
Financial and Administrative Tasks
* Managing service charge and ground rent collections.
* Drafting budgets and demand letters.
* Handling arrears and liaising with solicitors and debt collectors.
* Issuing S20 notices and updating clients on collection status.
* Filing company confirmation statements, accounts, and managing company secretary duties.
Role Requirements
* Proficient in Microsoft Office and IT skills.
* Minimum two years' experience in block management and broad property knowledge.
* Ambitious, dynamic, and motivated.
* Excellent communication skills, both verbal and written.
* Strong time management skills.
* Ability to run meetings and handle issues independently.
* Full clean UK driving license is advantageous.
Training
On-the-job training will be provided, supplemented by external courses. Staff are encouraged to pursue IRPM exams at the earliest opportunity.
