About the Role
We're seeking an
Intellectual Property Administrator
to join the Oxford office of a leading IP firm. In this role, you'll provide essential administrative support to patent attorneys, helping to manage patent applications and intellectual property matters on behalf of a diverse range of clients.
What You'll Do
* Process and record incoming communications and case data in internal systems
* Generate and send documents to clients and colleagues
* File and manage electronic correspondence in a paperless environment
* Monitor deadlines and follow up on reminders
* Liaise with external parties to resolve queries and obtain instructions
* Prepare invoices and record service charges
* Access and retrieve information from external sources
* Provide general administrative support including scanning, copying, room bookings, and handling calls
* Draft and send standard correspondence and reminders
Depending on your skills and interests, your responsibilities may include:
* Case Administration:
Maintaining accurate records, tracking deadlines, and managing documentation.
* Filing:
Preparing and submitting IP applications, coordinating with foreign attorneys, and arranging fee payments.
* Post-Filing:
Managing documentation required for ongoing cases.
* Secretarial Support:
Drafting correspondence, managing evidence, and preparing exhibit materials.
* Office Support:
Assisting with meetings, events, and general office administration.
About You
We're looking for someone with:
* Previous administrative or legal secretarial experience
* Excellent written and verbal communication skills
* Strong IT skills, including Microsoft Office and Outlook
* Experience with document management systems (desirable but not essential)
* Experience in intellectual property (desirable but not essential)
* A proactive and methodical approach with strong attention to detail
* Great organisational skills and the ability to prioritise work under pressure
* The ability to work both independently and collaboratively
