Job Summary:
We are seeking a highly organised and proactive Business Support Executive to assist our Business Unit in the execution and coordination of client projects. This role plays a key part in ensuring the smooth delivery of People solutions, supporting project documentation, client communications, scheduling, and internal coordination. The ideal candidate has strong attention to detail, excellent administrative skills, and the ability to manage multiple timelines in a fast-paced client facing environment.
Key Responsibilities:
Project & Client Support
* Provide day-to-day administrative and coordination support to consultants/facilitators on client engagements
* Track project deliverables, timelines, and ensure internal deadlines are met
* Assist in the preparation of client proposals, presentation decks, reports, and meeting materials
* Support data collection, surveys, and analysis for consulting projects
* Follow up with clients on required documents, responses, or approvals
Career Conversion Programme (CCP) Support
* Assist in the administration and coordination of CCPs, including processing of applications and maintaining participant records
* Liaise with clients and candidates to coordinate interviews, onboarding, OJT plans, and programme timelines
* Track and monitor CCP milestones and funding requirements
* Ensure compliance with programme guidelines, submission of documents to relevant authorities (e.g. WSG), and proper recordkeeping
* Support reporting and audit preparation related to CCPs
* Provide prompt customer service to both employers and career switchers throughout the programme lifecycle
Documentation & Reporting
* Maintain accurate project documentation and filing (e.g. contracts, NDAs, scope of work, change requests)
* Prepare and update project trackers, status reports, and action logs
* Support internal reporting to management on project progress and resource allocation
Internal Coordination
* Liaise with other internal teams (Finance, Marcomms, Events and Academy) on project-related needs
* Support invoicing, claims processing, and vendor coordination where needed
* Maintain and update internal systems such as project trackers, calendars, and databases
General Support Duties
* Initiate and execute with the preparation of events, webinars, or workshops
* Handle other administrative or coordination tasks to support the team
Requirements:
* Diploma or Degree in Business, Human Resource Management, or related discipline
* 1–3 years of experience in administrative, operations, or project support role
* Familiarity with government programmes such as CCPs is a strong advantage
* Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
* Excellent organisation and time management skills
* Strong attention to detail and ability to multi-task
* Good interpersonal and communication skills
* Proactive team player with a professional and service-oriented attitude
