Executive Assistant (10 Months FTC starting 3rd November 2025)
SALARY: £43,367.34 per annum (pro-rata)
HOURS: 37.5 per week, Monday - Friday
LOCATION: Albert Road, Bristol with some flexibility to work from home.

Purpose of the Role
We’re seeking a highly organised and proactive Executive Assistant to provide maternity cover for a key member of our senior support team. This role is essential in ensuring continuity of high-level administrative and governance support to our Executive team and senior leadership, including the Managing Director. You will handle sensitive and confidential information with discretion and professionalism.

The anticipated start date is mid-October 2025, and the contract is expected to run for 10 months.
Key Responsibilities
* Act as minute taker for Board and sub-committee meetings, ensuring accurate and timely documentation.
* Work closely with the Company Chair and Chairs of sub-committees to draft agendas, prepare meeting packs, and coordinate logistics for governance meetings.
* Coordinate and manage the Board pack, including responsibility for specific sections.
* Prepare agendas, conduct background research, and capture actions and decisions during meetings.
* Liaise with internal and external stakeholders, including key contacts at Bristol City Council, to support strategic priorities.
* Maintain governance processes and ensure compliance with documentation standards.
* Provide executive-level support to the Managing Director and Executive Team (5 members), including diary management, meeting coordination, and confidential correspondence.
* Manage complex diaries, travel arrangements, and meeting logistics for senior leaders.
* Handle sensitive and confidential information with discretion and professionalism.
* Maintain electronic filing systems for the Senior Leadership Team, ensuring accuracy and accessibility.
* Organise internal work and events supporting colleague engagement.
* Support the smooth running of leadership operations and contribute to organisational momentum.
Essential Requirements for the Role
* Proven experience in executive support or governance roles.
* Exceptional organisational and communication skills.
* High emotional intelligence and discretion in handling sensitive information.
* Ability to manage multiple priorities and work under pressure.
* Strong attention to detail and a proactive approach.
* Experience with governance processes and minute-taking.
* Ability to travel and provide support across multiple sites as required.
