Job Summary
Assistant Practice Operations Manager Post for our Tower Hamlets Practices.
We are looking for an accomplished, versatile, and highly organized person with appropriate experience to join our management team, providing on-the-ground assistant practice management and leadership.
Your main role will be to assist the Senior Practice Operations Manager in managing the surgery and premises to deliver high-quality care to the patient population.
Shift patterns will include early mornings and evenings.
Main duties of the job
* Responsibilities: Deputise for the Senior Practice Operations Manager in their absence, with the support of Senior Management.
* Co-operate with the SPOM on day-to-day operational issues.
* Line management of the supervisors and oversee line management of non-clinical staff.
* Attend, participate, and take minutes of practice meetings.
* Maintain adequate cover for all staff during surgery hours, including sickness and holidays.
* Allocate specified tasks requested by doctors and other members of the primary healthcare team.
* Deal with staff issues affecting the working environment, e.g., booking locum GPs and cover staff within budget.
* Ensure all administrative systems are running smoothly and recommend improvements.
* Review and update practice protocols.
* Maintain clinical registers and oversee call/recall processes.
* Maintain practice inventory of equipment and organize repairs and replacements.
* Ensure the Health and Safety Policy is updated and carry out regular H+S checks, reporting risks to the SPOM.

Job Responsibilities
* Manage all aspects of daily practice operations with the Lead GP and team.
* Handle practice complaints, comments, and suggestions, responding timely and escalating as needed.
* Oversee performance to meet QoF, KPI, and Enhanced Services targets.
* Lead infection control initiatives.
* Ensure practice meets network targets and attends all network meetings.
* Manage non-clinical staff including setting objectives, PDPs, and training needs.
* Manage sickness, absence, and conduct return-to-work interviews.
* Handle confidential information responsibly, adhering to data protection and confidentiality policies.
* Promote health and safety, identify risks, and ensure safety procedures are followed.
Person Specification
Qualifications: Degree or equivalent management qualification; excellent literacy and numeracy skills.
Experience: Proven ability in staff management, budget control, primary care experience, leadership, and decision-making skills.
