Medical Secretary
We are seeking a dedicated and detail‑oriented LTVS Medical Secretary to join our team in the Respiratory Department at Wythenshawe Hospital.
Main duties of the job
Transcribing letters and reports with accuracy and efficiency, using medical terminology, and ensuring all work meets Trust and departmental deadlines.
Sorting and distributing incoming mail (both electronic and paper), ensuring that all necessary documentation (e.g., notes, x‑rays, results) is available for medical staff review.
Processing referrals, prioritising by medical staff, arranging urgent admissions, and scheduling investigations and appointments within and outside the Trust.
Maintaining pending files for patients awaiting investigation results, ensuring all documents are correct and available for clinic appointments, and filing signed‑off investigation reports.
Handling telephone inquiries, liaising with GPs regarding referrals/results, managing consultant waiting lists, and providing professional and caring communication with patients and their relatives/carers.
Managing diaries, arranging meetings, maintaining stationery stock, processing petty cash, and assisting with induction and training of new staff. May also take informal minutes and participate in departmental audits.
Experience & Skills
* At least two years previous secretarial experience and/or previous NHS or similar healthcare organisation experience
* Proven experience of working to deadlines
* Previous medical secretarial experience
* Experience of working in a multi‑disciplinary team
Qualifications
* GCSEs or equivalent in English and Maths
* RSA/NVQ Level III or equivalent
* ECDL
* AMSPAR Diploma
Knowledge
* Knowledge of a range of secretarial procedures
* Knowledge of medical terminology
* Understanding of Out‑Patient, admission and waiting list procedures
* Understanding of IT generallyKnowledge of PAS system
* Knowledge of Trust policies and procedures
