Student Voice Coordinator (Academic Representation) Place of Work : Based in the Students’ Union on the Belfast, Coleraine, or Magee Campus Reporting To : Head of Student Representation Hours : 36.5 hours per week Salary/Grade : Single Pay Spine Grade 5 £28,778 - £32,097 Purpose : The Student Voice Coordinator (Academic Representation) leads the operational delivery, coordination, and continuous improvement of Ulster University Students’ Union’s academic representation system. The role ensures effective partnership between students and the University in relation to academic standards, quality enhancement, and the student learning experience. Acting as the main point of coordination between student representatives, academic staff, and Students’ Union structures, the post-holder ensures student academic feedback is captured, understood, escalated, and acted upon through clear and consistent processes. KEY RESPONSIBILITIES: 1. Coordinate and manage UUSU’s academic representation system Lead the day-to-day delivery of academic representation processes, recruitment, training, and engagement approaches. Lead and support the coordination of Course, School/Department and Faculty Representative structures across the University Ensure clarity of roles within academic representation, including: o Course Representatives supporting programme-level and day-to-day academic issues o School/Department Representatives in providing support for course reps and as the recognised student partner to University Departments. o Faculty Representatives contributing to academic standards and quality enhancement activity Maintain oversight of representation coverage, engagement levels, and effectiveness across Schools and programmes Act as the primary Students Union contact for academic representation matters raised by student representatives or academic stakeholders Monitor academic representation coverage, engagement levels, and participation across Schools, Faculties and campuses, identifying gaps or risks requiring intervention. Maintain accurate and accessible records to ensure continuity and sustainability of academic representation processes Review and evaluate current structures and provide recommendations to ensure academic representations remains accessible and impactful across all campuses, faculties and levels of study. 2. Develop and maintain academic partnerships Work with academic University staff to ensure academic representation is effectively integrated into Ulster University learning and teaching and feedback processes. Build and maintain effective relationships with Course Directors, Schools, Faculties, and Associate Deans Act as a key point of contact between academic staff and the Students’ Union in relation to academic representation Support academic partnership activity including programme review, validation and revalidation processes, and institutional enhancement discussions where appropriate Work proactively with academic areas to identify emerging academic issues, recurring themes, or risks impacting the student learning experience Support clear communication between academic staff and student representatives to ensure expectations, responsibilities, and escalation routes are understood 3. Recruit, train and support academic representatives Coordinate the recruitment, onboarding, development, and ongoing support of all academic representatives across current undergrad and postgrad programmes and years. Coordinate annual recruitment of Course Representatives across all current undergrad and postgrad programmes and years Deliver a structured onboarding, induction and role specific training for newly appointed representatives Review and continuously improve ongoing training to ensure representatives understand their responsibilities as student volunteers and partners in academic enhancement Develop and maintain training materials, guidance, and resources supporting effective representation Develop opportunities for representatives to share experiences, challenges, and effective approaches Provide guidance and operational support to academic representatives in carrying out their role 4. Deliver effective communication channels in supporting online and in person engagement opportunities for academic representatives Facilitate regular peer networking opportunities for academic representatives to share good practice, feedback to the SU and identify common academic issues across programmes, school and faculties. Create digital spaces (e.g. Teams channels or equivalent) for peer support, updates, and shared learning Facilitate the sharing of best practice, common challenges, and successful approaches between representatives Oversee academic representation accreditation and recognition arrangements 5. Sustain effective routes for academic feedback, escalation and insight to improve the learning experience Ensure academic feedback raised by students is effectively captured, understood, and progressed. Maintain clear mechanisms for Course, School/Dept and Faculty Representatives to raise academic issues Act as the first point of contact for academic representation matters, ensuring appropriate triage, escalation, and referral where required Collate, progress and escalate through the SU and University reactive academic issues arising throughout the academic year, ensuring appropriate triage, escalation, and follow-up Identify trends and recurring collective academic concerns across programmes and each level of representation Support Faculty Representatives and Elected Officers with evidence and insight for academic meetings and enhancement activity Contribute academic representation data and insight to organisational reporting and Student Voice planning 6. Deliver proactive academic insight and targeted engagement Support a proactive, intelligence-led approach to improving the student learning experience. Proactively engage with courses or academic areas where concerns or underperformance have been identified Meet directly with Course Representatives and students where appropriate to understand programme-level issues Work collaboratively with the wider Student Voice team to ensure shared intelligence and informed targeted activity linked to institutional priorities Maintain oversight of ongoing academic issues to support long-term tracking and resolution Identify opportunities to strengthen student partnership and representation effectiveness 7. Plan and oversee the academic representation annual cycle Ensure academic representation activity is effectively planned and delivered across the academic year. Oversee recruitment, induction, training, student and stakeholder engagement, and reporting Align activity with the University academic calendar and Students Union priorities Maintain structured workplans to ensure proactive delivery alongside reactive responsibilities Ensure appropriate use of digital systems and administrative processes (including Microsoft Excel or equivalent tools) to manage representative data and activity Contribute to the development and delivery of strategic objectives or one-off projects and key events 8. Offer support and guidance to the Elected Officers as required Work collaboratively across Student Voice functions to ensure joined-up delivery. Provide operational support and insight to Elected Officers, primarily the Vice-President Education, on academic representation matters Provide briefings, evidence, and insight to support Officer engagement with academic stakeholders Contribute academic representation insight to wider Student Voice initiatives and the Student Executive where appropriate GENERAL The Student Voice Co-Ordinator (Academic Representation) will: (1) At all times by word and deed portray a positive image of the Ulster University Students’ Union. NOTES (1) For full and effective discharge of duties, the post will, at times, require additional commitment over and above normal office hours. The post-holder is expected, within reason, to undertake such hours as are necessary to successfully perform the duties of the post. Overtime is not payable but Flexible/Time Off in Lieu (TOIL) may be agreed with the relevant line manager as appropriate. (2) The post-holder is expected to undertake networking and development opportunities as appropriate to the post. This will include occasional time away from home.
