The role
You will be someone who thrives on keeping things running smoothly, thinks two steps ahead, and brings calm, structured organisation to a fast-moving environment. This role goes beyond diary management – you will be a trusted partner to the Senior Leadership Team (SLT), enabling them to focus on what matters most as we scale.
Your responsibilities will include the following areas:
1. Executive & diary support
* Manage complex, often shifting diaries for the CEO and other SLT members, prioritising effectively and anticipating conflicts before they arise.
* Coordinate domestic and international travel arrangements, including flights, accommodation, ground transport and itineraries – particularly in support of the growing US and European activities.
* Prepare briefing documents, agendas and background materials ahead of key meetings, calls and conferences. Support post event actions.
* Handle correspondence and communications on behalf of senior leaders, drafting responses and managing inboxes and LinkedIn accounts where appropriate.
2. Board, investor and stakeholder support
* Coordinate board meetings and board communications, including collating board packs, managing logistics and following up on actions.
* Support the CEO in managing relationships with investors, advisors and key external partners, helping to track touchpoints and prepare materials.
* Assist in preparation for industry conferences and events including registrations and team logistics.
* Track the progress of company initiatives and support in ensuring key milestones and deadlines are met and reported on appropriately.
3. Recruitment
* Support all recruitment activities, including team expansion planning/timing, writing role specifications, advertising for new roles, managing recruiters, managing and responding to applicants, booking and planning interviews, coordinating recruitment across teams.
4. Internal communication & ad hoc projects
* Support internal communications including all‑hands updates, team announcements and company newsletters.
* Take ownership of ad hoc projects as directed by the SLT – from document preparation to process improvements and special initiatives.
* Act as a discreet and trusted handler of confidential information relating to strategy, personnel, and commercial activities.
We are excited to receive applications from candidates with a proven track record as an Executive Assistant, who are independent, resourceful and determined. Experience of delivering success in a start‑up company would also be valued.
The position is full‑time and based in Cambridge, UK.
Requirements
* Educated to degree level or equivalent; a background in life sciences, business or a related discipline is advantageous but not essential.
* Formal EA or PA training or professional development is a plus.
* A minimum of 3‑5 years experience in an EA, PA or senior administrative role, ideally supporting C‑suite or senior leadership in a fast‑paced environment.
* Experience working in or alongside life sciences, biotech, deep tech or a similarly technical scale‑up is strongly preferred.
* Proven ability to manage complex diaries and travel coordination across time zones.
* Comfortable working in a small, fast‑moving company where priorities can shift quickly and processes are still being built.
* Exceptional organisational skills with a high degree of attention to detail and the ability to manage multiple competing priorities.
* String written and verbal communication skills.
* Proficient in Microsoft Office 365 and comfortable with adopting new digital tools; familiarity with Notion and HubSpot is a plus.
* Personable and collaborative with the professionalism to represent the SLT and the company well with external stakeholders.
