Are you highly organised, proactive, and ready for a role where no two days are the same? We’re looking for a Legal Secretary to join our Planning Team in a leading law firm. This is a varied position with plenty of responsibility and opportunities to make a real impact. The Planning Team is a small group of solicitors supported by this role and a PA. This means you’ll gain exposure to all aspects of the team’s work, build trusted relationships, and play a pivotal role in the team’s success. As part of a newly formed support team, you’ll have the opportunity to make a big impact—identifying ways to work more efficiently and improving existing processes. You'll work closely with the PA and fee-earners to manage tasks across the full lifecycle of legal matters. From opening files and ensuring compliance checks, to supporting fee-earners through to matter closure, you’ll play a key role in keeping everything running smoothly. You’ll be part of the Secretary Hub, managing tasks through a ticket system. These tasks often support other departments and assist PAs and secretaries during busy periods, giving you the chance to build relationships across the Secretary Hub and gain exposure to a variety of work. You’ll have a dedicated buddy as your point of contact for any questions and will work alongside a team of experienced superusers to ensure you receive the best training. This is a well-supported role with plenty of opportunity for development. As the Secretary, your role will include: Matter management - Take ownership of compliance processes, set up matters, and support fee-earners throughout the file lifecycle. Task coordination - Use our task management system to pick up overflow work and assist with PA tasks. Billing & accounts - Handle month-end billing, manage accounts via Aderant, process payments, and create invoices. Document management - Prepare and organise legal bundles for contentious matters, ensuring accuracy and logical order, sometimes at short notice. Team support - Collaborate with a friendly, supportive team, contribute ideas to improve efficiency, and get involved in planning team initiatives. We are looking for: Previous experience in an administrative or secretarial role within a Law Firm or Professional Services environment Demonstrable experience using Microsoft Office applications, including Word, Excel, and Outlook, to manage documents, spreadsheets, and email communications effectively. Candidates should be able to navigate these tools confidently to complete administrative tasks with accuracy and efficiency. Proven ability to manage workload effectively, prioritise tasks, and maintain accuracy in a fast-paced environment. Demonstratable experience communicating clearly and professionally, both verbally and in writing, with colleagues and clients. Evidence of working collaboratively within a team and adapting to changing priorities or tasks as needed. A proactive and enthusiastic approach to work, with a track record of taking initiative and maintaining high levels of engagement and reliability. Demonstratable ability to follow structured processes accurately, with strong attention to detail and confidence working with numerical information. Evidence of a solutions-focused approach to resolving queries or improving administrative workflows. To start with, this role will be fully office-based while you complete your training. Once training is complete, the firm operates a minimum of 40% in-office policy; however, this role and team would suit someone who values and is committed to spending more time in the office. This role is 35 hours per week, 9:00 – 5:00 Monday to Friday. Some of our benefits include: £27,000 - £29,000 per annum, depending on experience. Earn up to 10% of your salary with our annual bonus scheme. Minimum of 25 days annual leave plus Bank Holidays per year increasing to 31 days with length of service, with the opportunity to buy/sell up to 5 days holiday per year. Auto enrolled into the workplace pension scheme, and we'll contribute a minimum of 6% of your salary. 4x your annual salary in the event of a death in service.
