Position Title: Dispatch Coordinator Support
Location: Ballymoney
Reporting to: Dispatch Manager
Hours of work: 39 hours - Monday - Thursday

Role Overview:The Dispatch Coordinator Support provides essential administrative and operational support to the dispatch team. This role ensures schedules are kept up to date, paperwork is accurately processed, and customers receive timely and professional communication. The position plays a key part in maintaining smooth daily operations.Key Responsibilities:
1. Scheduling & Coordination
2. Update and maintain daily and weekly dispatch schedules
3. Assist in adjusting schedules based on operational changes or customer requirements
4. Communicate updates to drivers, field staff, and internal teams
5. Customer Communication
6. Serve as a point of contact for customers regarding delivery or service updates
7. Respond to inquiries professionally via phone and email
8. Provide accurate information on timing, delays, and service status
9. Documentation & Administration
10. Complete and process dispatch-related paperwork
11. Maintain accurate records of deliveries, collections, and service activity
12. Ensure all documentation is filed and stored in line with company procedures
13. Operational Support
14. Work closely with dispatch coordinators to support daily operations
15. Monitor job progress and flag any issues or delays
16. Assist with data entry and system updates
Skills & Requirements:
17. Strong organizational and multitasking skills
18. Excellent communication and customer service ability
19. Attention to detail and accuracy in paperwork
20. Ability to work in a fast-paced environment
21. Proficiency in basic computer systems (e.g., Excel, dispatch software, email systems)
22. Team-oriented with a proactive approach
Preferred Experience:
23. Previous experience in dispatch, logistics, or administrative support (desirable but not essential)
24. Experience handling customer communications
