Spire Southampton are recruiting for a Medical Secretary Manager to join their team on a full-time, permanent basis. The purpose of this role is to manage the team of medical secretaries and provide a full medical secretary service to consultants. To ensure the team provide a high standard of service to all patients and consultants. To manage workload effectively and efficiently in line with the demand of the business.

Duties and Responsibilities:
* To manage a medical secretary team who can adapt to the demands of the business and provide a professional service to consultants and patients. To monitor performance and address any concerns appropriately, escalating where necessary.
* To ensure processes are in place that deliver high standards of customer service at all times.
* To develop a multi-skilled flexible team who can cover multiple specialities and other duties when required. Manage team absences and arrange suitable annual leave cover.
* To ensure the team are working efficiently and effectively with the aim to charging for 100% of their working time back to consultants. Monitoring workloads to ensure appropriate and fair distribution of work and tasks.
* To ensure GDPR (data protection) guidance is adhered to at all times by the team.
* Carry out quality assessments regularly, act on feedback and develop action plans for ongoing continuous improvements.
* Communicate effectively with the team about general hospital activity or operational issues to ensure they are well informed.
* Constantly look for new ways of working and process improvements in order to move in time with other aspects of the business
Who we're looking for:
* Medical secretary qualification or a minimum of 2 years' experience as a medical secretary
* Proven experience within an administrative and/or customer service environment
* Experience in people management, performance improvement, disciplinary and other HR involvement when managing a team
* An accurate approach when working to strict deadlines and a confidence when delivering information to key personnel
* Excellent communication skills, both written and verbal
* Enthusiastic, self-motivated, able to prioritise and work accurately under pressure with sound numerical and analytical ability and attention to detail
* Ability to work independently and as part of a team
* Good organisational skills and time management
* Experience of working in a hospital/healthcare environment
Working Hours: Monday-Friday, 9-5
