Purpose of Role
We have an excellent opportunity for a highly organised Assistant Facilities Manager to join our team based at RAF Odiham. This role plays a key part in supporting the Facilities Management team in the delivery of hard FM services across a busy and operationally critical Defence site.
Job Description
The successful candidate will act as the administrative backbone of the FM operation — coordinating tasks, managing systems, and supporting both engineering and subcontractor delivery. You’ll provide essential assistance to the Site Manager and wider operational team, ensuring that all planned and reactive works, documentation, and compliance records are accurately maintained and completed to a high standard.
Responsibilities
•Provide day-to-day administrative support to the Site and Operations Management teams.
•Manage and update CAFM systems (Maximo) — logging jobs, closing out works, uploading certificates, and tracking mitigations.
•Assist with PPM scheduling and support coordination of engineering and subcontractor activities.
•Handle general site administration including visitor management, stationery ordering, travel bookings, and document control.
•Support the preparation of operational reports, meeting minutes, and compliance documentation.
•Liaise with internal teams, suppliers, and subcontractors to ensure smooth operational delivery.
•Ensure site processes and paperwork meet HSEQ and statutory requirements
Essential Qualifications/Skills
•Proven experience in an administrative or coordination role within facilities management, engineering services, or a subcontractor environment.
•Strong organisational and multitasking skills with excellent attention to detail.
•Confident using CAFM systems (Maximo preferred) and online portals for work management.
•Excellent communication and interpersonal skills with the ability to work with multiple stakeholders.
•A proactive, reliable team player who takes ownership of their work.
•Experience in producing reports, tracking PPMs, and supporting compliance processes.
•Familiarity with Defence, government, or other secure environments (advantageous).
•Willingness to undergo security vetting as part of the recruitment process.
