 
        
        We're looking for a proactive, detail-oriented, and people-first Facilities Coordinator to join our London HubSpot office. This role is pivotal in creating an engaging, smooth-running office experience for our employees, visitors, and event guests. You'll be the go-to person for daily operations, facilities coordination, and the heartbeat behind our vibrant office.
Responsibilities
 * Ensure the day-to-day running of the office is efficient, welcoming, and aligned with HubSpot's standards
 * Liaise with building management and external vendors to manage cleaning, maintenance, and safety compliance
 * Support our Physical security team, reporting breaches, managing access control and safety & welfare
 * Monitor and manage office supplies, equipment, and inventory
 * Coordinate desk assignments and meeting room readiness
 * Ensure health & safety practices are followed and documentedOversee incoming and outgoing mail, courier services, and deliveries
 * Maintain a clean, organized, and productive work environment
Workplace Experience
 * Be the first point of contact for employees, new hires, and visitors
 * Welcome guests and create a seamless visitor experience
 * Assist with onboarding logistics for new team members (desk setup, access badges, welcome kits, etc.)
 * Support internal communications for office updates, policies, and event announcements
 * Champion our office culture by contributing to a fun, inclusive, and collaborative environment
Event Support
 * Provide operational support for internal and external events held in the office, including infrequent evening / Weekend events
 * Set up event spaces, manage catering and AV needs, and provide on‑site coordination
 * Collaborate with Events, Marketing, and People Ops teams to ensure successful execution
 * Help with post‑event breakdown and follow‑up as needed
Qualifications
 * 2+ years in office coordination, facilities, or workplace experience roles
 * Strong organizational and multitasking skills with great attention to detail
 * A confident communicator and enthusiastic problem‑solver
 * Comfortable working both independently and collaboratively
 * Willingness to occasionally work flexible hours to support events
 * Experience using tools like Google Workspace, Slack, and basic AV equipment is a plus
 * A people‑first mindset and love for building great workplace experiences
