Job Title : Contracts Operations Manager Location : Tamworth Reports To : Operations Manager Role Overview: The Maintenance Contract Manager is responsible for overseeing the full lifecycle of maintenance contracts, ensuring their financial viability and maximizing profitability. This role carries responsibility for thorough cost analysis, contract administration, accurate calculation of selling prices based on costs, and effective management of allocated service costs, including those from internal departments, third-party providers, and contractors. The position ensures accurate invoicing, proper allocation of warranty and service costs, calculation of additional out-of-term charges, and implementation of cost escalation mechanisms such as CPI/RPI. Key Responsibilities Financial Oversight, Pricing & Profitability Analysis Conduct detailed cost analysis and financial modeling to ensure all maintenance contracts are sustainable and profitable across their full term. Calculate selling prices for maintenance contracts based on underlying costs, desired margins, and market considerations. Monitor and report on contract profitability, identifying areas for improvement. Regularly review contract costs and update forecasts as needed. Contract Administration Oversee the setup, documentation, and administration of maintenance contracts. Ensure all contractual obligations are met by both parties and documented appropriately. Manage renewals, amendments, and terminations in line with company policies. Service Cost Management Allocate and monitor service costs from contractors, third-party service providers, and the internal service department. Ensure accurate and timely assignment of warranty costs and service charges to the appropriate contracts. Verify cost allocations and supporting documentation for internal audits. Invoicing & Revenue Assurance Oversee and ensure timely, accurate invoicing per contract terms, including escalation clauses and variable charges. Coordinate with finance to resolve discrepancies and optimize billing cycles. Calculate and bill additional out-of-term costs and renewals as appropriate. Escalation & Indexation Implement and manage procedures for CPI (Consumer Price Index) or RPI (Retail Price Index) cost increases according to contract cadence. Ensure all escalations are tracked, documented, and communicated to relevant stakeholders. Continuous Improvement Review existing contract management processes and recommend improvements for efficiency and value creation. Stay current on industry trends, regulations, and best practices related to maintenance contracts and cost management. Requirements Bachelor’s degree in Business, Finance, Engineering, or related field (preferred). Proven experience in contract management, preferably within the maintenance or services sector. Strong financial acumen and experience in cost analysis, selling price calculation, or profitability calculation. Excellent organizational and administration skills. Expertise in coordinating among internal departments and external partners. Proficiency in MS Office suite; experience with contract management software is a plus. Strong analytical, problem-solving, and communication skills. Attention to detail and the ability to manage multiple contracts simultaneously. Knowledge of CPI/RPI escalation processes and their application in contract settings.
