About You and the Role This role provides administrative support to the day-to-day operations function, covering general office administration, care operations, and training coordination. Key responsibilities include answering calls from clients and field-based team members, gathering and recording information from new enquiry calls, and providing support with training delivery and administration, including maintaining accurate training records. The role also assists with organising field-based staff social events and supporting general team communications to ensure smooth operational processes and strong team engagement. In addition, the role provides administrative support for systems, quality assurance, and audit-related projects, helping to maintain compliance and continuous improvement across the service. Key Responsibilities: Office Management Activities Manage mailbox and post and parcel deliveries, IT equipment, and inventories. Call answering General Be a point of contact for colleague queries – managing administratively where possible or re-directing to the appropriate team member Undertake duties as required on an ad hoc basis to support the delivery of effective administration and supporting the organisation Training administration: E-learning allocation Support scheduling and recording training attendance Training certificate distribution monitoring Audit Training files to ensure completeness/compliance Assist with preparation of compliance documentation for audits and inspections. Ensure training records are inspection-ready and accurately maintained. Maintain training records, certificates, and compliance trackers (e.g., mandatory training matrix). Ensure staff are booked onto refresher training in line with company requirements. Monitor expiry dates of mandatory training and notify managers/staff when renewals are due. Prepare training materials, attendance sheets, and evaluation forms. Upload and maintain training data on relevant systems Training Delivery: Deliver basic mandatory training courses to care staff (depending on competence), such as: Care Certificate standards support Moving and handling (awareness/basic – if qualified) Infection prevention and control Health and safety awareness Safeguarding awareness Professional boundaries and dignity in care Support induction training sessions for new starters Ensure training is delivered in an engaging, professional, and supportive manner. Conduct/support pop-in E-learning Support workshops Operations Support team with key administrative tasks ECM to track late visits and prevent missed visits Support availability management Proactively engage with bank network of carers and nurses Monitor utilisation in line with care coordinator team to ensure active carers on the system are regularly communicated with and have a relationship with Draycott, or are offboarded.
