Location: Lewes/Eastbourne and home-based working
Hours: Mon – Fri (37.5 hours)
Reporting to: Database & Compliance Team Manager
Job Purpose
Support the Database and Compliance team in managing new instructions, ensuring timely opening of matters and excellent client service. Receive training in a fast-paced environment to provide comprehensive service to clients and stakeholders.
Responsibilities include:
1. Preparing matters to be opened
2. Creating and updating contact records in Peppermint (PPM)
3. Liaising with Legal Advisers and Paralegals for information accuracy
4. Running conflict checks and attaching results
5. Amending contact data for deceased clients, address changes, etc.
6. Updating client and matter data as needed
Development into additional responsibilities:
1. Creating Opportunities, Clients, and Matters for new files
2. Generating and sending opening documentation
3. Recording client instructions and GDPR responses
4. Ensuring conflict searches are completed and documented
AML Processes:
1. Obtaining and scanning identification documents
2. Running electronic searches and reviewing results
3. Liaising with the Money Laundering Officer for flagged issues
4. Reviewing AML monitoring reports
Data Maintenance:
1. Transferring matters, merging duplicates, and data cleansing
General Responsibilities:
1. Identifying efficiency improvements
2. Training new staff
3. Maintaining confidentiality and security
Requirements:
* Flexible attitude and willingness to learn
* Team-oriented mindset
* High attention to detail and accuracy
* Experience with administrative work and MS Office
* Good communication skills
* Knowledge of AML and KYC regulations
* Relevant qualifications and experience
