About the Job

As Merchandising Admin Assistant at Gap, you'll ensure product readiness and availability from order to online. You'll manage the entire PO lifecycle, ensuring data accuracy and efficient system updates. This involves overseeing product enrichment, inbound logistics, and stock management (including wholesale, retail and ecommerce). Your role provides vital reporting and analysis to drive sales and profitability in a fast-paced retail environment.

Within this role you will…

Order Management & Accuracy

* Ensures sizing is actioned accurately and to the latest analysis, and uploaded to the Gap portal by the specified deadline.
* Ensures all styles are raised in NPS and live in Mainframe in accordance with the critical path (CP), and that information is correct on purchase orders (PO).
* Manage the end-to-end purchase order (PO) lifecycle, ensuring accurate and timely creation in NPS and Mainframe, adhering to the critical path.
* Collaborate closely with the Capita Admin Team to raise and approve all POs, troubleshooting issues and providing support during peak times.
* Proactively identify and amend any discrepancies between POs, buy sheets, and brand information.
* Manage draft POs, ensuring timely approval by the Merchandiser to avoid labeling delays and enable efficient product processing by brands.
* Support all operational and administrative tasks related to placing POs into our systems, meticulously checking them for accuracy, and ensuring products go live on site promptly.
* Manage EANs, ensuring all are accurately uploaded to the system and maintained.
* Manage and update the range plan with any cancellations, colour changes, or date adjustments.

Product Data & Enrichment

* Product Enrichment & Grouping: Complete the product enrichment checklist, including grouping and color linking, to optimize sales.
* Go-Live Readiness: Manage the critical path for imagery and copy, proactively reviewing and uploading all necessary information to ensure products are complete and ready for launch before stock arrives.
* Live Stock Management: Monitor and resolve "in stock, not online" (ISNOS) issues, ensuring swift action to get products live and selling as quickly as possible.

Stock Management

* Oversee inbound stock flow, liaising with Gap and third parties to ensure timely warehouse bookings, deliveries, and accurate ETA tracking in line with the Critical Path.
* Manage delivery dates with the Capita Admin Team, ensuring all systems reflect the latest information and proactively addressing late deliveries with the Merchandiser.
* Monitor stock movement from warehouse arrival to a live, saleable status, utilizing the Stock Status Tracker (SST) and Mainframe.
* Manage any non-compliant or problematic stock through the Non-Conformance Report (NCR) process, ensuring timely resolution and readiness for sale.
* Support the logistics team by monitoring stock bookings into the Distribution Centre (DC) and assisting with any related issues.
* Track stock progression through the warehouse during refurbishment, ensuring efficient movement to a saleable location.
* Resolve post-delivery stock processing issues by utilizing the post-delivery tracker and collaborating with relevant teams.
* Allocates stock to the designated channel to ensure stock is in the right place to drive sales.
* Manage wholesale stock, ensuring it's identified, quarantined, and delivered to partners promptly. This includes collaborating with wholesalers to review intake dates, communicate order changes, and work with the warehouse to ensure correct DC management and on-time partner delivery.

Reporting & Analysis

* Accurately produces ad-hoc reports as required by the business and is able to interpret and summarise the data.
* Ensure product is attributed correctly in the system to enable accurate reporting and analysis
* Knows who key brand competitors are, and makes links to external factors and competition.
* Produces reports to identify best and poor performing lines, communicating findings and making suggestions on actions to take to the Merchandiser.
* Support on weekly trade analysis and meetings, reviewing performance of a division, looking at category, season code and subcategory performance.

* Retail/Store experience is a plus, but not essential.
