Job overview

The Medical Education Department is responsible for developing, managing and delivering a range of high quality and cost effective medical educational services within the Trust to specifications required by the General Medical Council, NHS England Workforce, Training & Education (NHSE WT&E) Kent, Surrey & Sussex (KSS) Deanery, associated Medical Schools and the Trust’s strategic and operational framework. The post holder will work closely with the Management Team to achieve these overall aims.

The Foundation & Data Administrator will function as a part of the Medical Education Team, contributing to the overall operations of the Centre, engaging in project activities, and participating in the creation and enhancement of promotional materials within the department.

Additionally, the individual in this role will undertake various essential duties and responsibilities.

Main duties of the job

The Foundation & Data Administrator will work with the Management Team and Foundation Training Programme Directors to fulfil the NHS Education Funding Agreement and the service level agreement with the KSS Deanery.

There is a requirement to maintain the Accent/Intrepid database according to departmental guidelines. This involves ensuring accurate post information for doctors and precise recording keeping.

The position is for 37.5 hours per week, Monday – Friday, based on site at Maidstone Hospital.

1. NVQ level 3 in Business Administration/ Customer Care or equivalent

2. Communication Skills: Proficiency in written and verbal communication for interacting with colleagues and external parties.
3. Time management: Ability to organise, prioritise tasks, meet deadlines, work under pressure and multitask effectively.
4. Teamwork: Ability to collaborate with colleagues and contribute to the overall success of the team.
5. Experience of taking accurate notes at meetings as and when required.
6. Proficient in accurate data input and text processing.

Experience

7. Previous experience in administration in a busy environment.
8. Advanced IT skills including proven abilities in using Microsoft Office Applications.
9. Experience of using spreadsheets, data analysis, data quality, reporting and in using computerised data systems.
10. Experience of working to objectives and deadlines.
11. Demonstrate an understanding and respect for confidentiality.
12. Experience in managing administrative tasks such as scheduling appointments, organising meetings, and maintaining records.
13. Experience handling various forms of correspondence, including emails, letters, reports, and phone calls.

Desirable criteria

14. Experience in a training environment.
15. Experience of learning new computer software packages.
16. Basic working knowledge of audio-visual (AV) equipment.
