Job Purpose:
Reporting into the Business Partner responsible for Early Years, this role is key in supporting the invoicing, cash collection and control over seven Early Years settings. With income of more than £7m and a growth area for the YMCA, this is a key area of the business and an exciting time to join. The successful candidate will be a member of a small team and have the following core areas of focus:
12. Generating the monthly invoicing, applying the government funding and collection of the cash.
13. Support in resolving queries from parents.
14. Support the EY Director and nursery managers in understanding any invoicing and payment issues within a setting.
Main Duties & Responsibilities:
15. At all times work within the YMCA Way
16. Ensure the Early Years invoicing is issued on a timely basis with funding correctly applied
17. Apply direct debits accurately and post payments accurately onto parent accounts.
18. Taking payments via credit card, BACS, childcare vouchers, TFC
19. Applying funding/nursery grants to individual accounts in the nursery management system
20. Investigating and resolving invoice and funding queries as required in a timely manner
21. Credit control by email and phone
22. Carrying out funding claims with applicable council
23. Reconciling funding/nursery grants
24. Maintaining child records in the nursery management system
25. Allocating group income to the correct account
26. Supporting nursery managers in recording usage of designated funds
27. SME for early years funding
28. Posting month-end journals to record early years income
29. Maintain regular and frequent communication with all nurseries, including visits
30. Be an active team player within the Early years team and within the organisation as a whole
31. Claiming funding in a timely manner from the local councils and reconciling the amounts received.
32. Store and update documents in the companies file sharing database
33. Maintain files including confidential information
34. Liaise with external professionals and staff from other services
35. At all times adhere to YMCA’s policies and procedures
36. Act in the interests of your own safety and the safety of others.
37. Anything else reasonably requested by the management of the charity
Qualifications/Experience:
38. Minimum of 2 years’ experience in performing administrative tasks in a busy customer facing role, preferably in a service supporting children and families
39. Excellent IT skills, including applications such as Word, PowerPoint, Excel, Outlook and database applications. Training in Connect Childcare will be provided
40. Basic understanding of finance principles
41. Full UK Driving License - Travel will be expected to meet business needs
42. Interest in Early Years industry and understanding of government funding
