About Us

We operate both an accountancy practice and a property management company. We pride ourselves on professionalism, efficiency and maintaining strong relationships with our clients and tenants.

We are looking for a reliable and organised Administrative Assistant to support the day-to-day running of the office and assist across both sides of the business.

Key Responsibilities

Office & Administrative Support

* Managing incoming and outgoing post
* Answering telephone calls and responding to emails
* General filing (paper and digital) and document management
* Maintaining office supplies and ensuring smooth day-to-day office operations
* Data entry and maintaining accurate records
* Assisting with general office organisation and processes

Diary & Business Support

* Managing the director's diary, appointments and meetings
* Scheduling client meetings and property appointments
* Preparing basic correspondence and documents

Accountancy Practice Support

* Contacting clients for information and documentation
* Chasing outstanding invoices and payments
* Supporting with onboarding new clients
* Maintaining client records and databases
* Monitoring Anti-Money Laundering requirements and risk assessments

Property Management Support

* Contacting tenants regarding rental payments and queries
* Chasing rental income arrears
* Liaising with contractors where required
* Maintaining property and tenancy records

Finance & Credit Control

* Monitoring outstanding invoices
* Chasing overdue payments professionally and confidently
* Assisting with basic bookkeeping tasks (if applicable)

The Ideal Candidate

* Previous administrative experience preferred
* Organised, proactive and able to manage multiple tasks
* Confident communicator (written and verbal)
* Comfortable chasing payments in a professional manner
* Competent in Microsoft Office (Word, Excel, Outlook)
* Able to work independently and maintain confidentiality
* Reliable and trustworthy

Experience in an accountancy practice or property management environment would be advantageous but is not essential.
