Senior Delegate Manager


Reports to: Head Of Delegate Management

Location: Hybrid (minimum 1 day per week in London Office)

Travel: Required for onsite event delivery


Role Overview:

The Senior Delegate Manager is responsible for leading the delivery of complex delegate management projects across Strata Create’s events portfolio. This includes managing attendee logistics, contributing to budget and timeline planning, mentoring junior team members, and ensuring service excellence throughout the delegate journey. The role requires strong operational skills, platform knowledge, and the ability to work collaboratively across teams and with clients.


Key Responsibilities:

Project Delivery

* Lead delegate management for high-profile or complex events, acting as the main point of contact for clients and internal stakeholders.
* Manage all aspects of attendee logistics including registration, travel, accommodation, visa support, and onsite delivery.
* Ensure SLA compliance and exceptional customer service across all delegate touchpoints.
* Collaborate with the Digital Operations team to ensure seamless integration of registration platforms and apps (e.g., Swoogo, CrowdComms, Cvent, Spotme), with accurate data management.
* Troubleshoot and resolve issues swiftly and professionally, escalating to the Team Manager when necessary.
* Contribute to budget planning and take ownership of project timelines.

Team Support & Development

* Mentor and support Delegate Managers and Coordinators, sharing best practices and providing guidance on project delivery.
* Assist the Team Manager in identifying training needs and supporting onboarding of new team members.
* Promote a collaborative and positive team culture, contributing to knowledge sharing and continuous improvement.

Operational Excellence

* Maintain accurate data and reporting across registration platforms and apps.
* Ensure compliance with internal policies, client expectations, and industry standards.
* Identify opportunities for process improvement and contribute to the development of team workflows and documentation.

Reconciliation & Post-Event

* Manage post-event attendance analysis and reporting.
* Participate in post-event debriefs (internal and client-facing), applying a critical eye and sharing learnings across the team.
* Manage post-event administrative processes, including reconciliation and final reporting.

External Engagement

* Deliver excellent customer service and anticipate client requirements.
* Monitor the quality of client deliverables and uphold high standards onsite.
* Act as a professional ambassador for Strata Create at all times.
* Stay abreast of emerging event technologies and confidently recommend innovative solutions.


The Candidate:

* Strong experience in delegate management and onsite event delivery, ideally across multiple sectors.
* Proven ability to manage complex logistics and high-volume attendee programmes.
* Working knowledge of registration platforms and data management (e.g., Swoogo, CrowdComms, Cvent, Spotme).
* Highly organised with excellent attention to detail and time management.
* Strong communication skills (verbal and written), with high levels of literacy and numeracy.
* Advanced Excel skills and confidence working with data.
* Comfortable working in a fast-paced environment with shifting priorities.
* Willingness and ability to travel for onsite event delivery.
* Experience in pharmaceutical and automotive sectors is highly beneficial.
* Availability to work outside of standard business hours when required.
