What we're looking for
* Experienced general and logistics administrator required with a high level of competency in Microsoft Office (Outlook, Excel, and Word).
* Excellent communication skills and ability to collaborate and work well within a small team.
* Full clean driving license and willingness to drive the company van for occasional delivery duties.
* A can-do proactive attitude and approach to all tasks for our small employee-owned team.
The current vacancy: Duties in detail
You will support the wider administration team with incoming and regular admin activities that include:
* Working on our ISO 9001 requirements, including:
* Discussing events with the Heads of Department for regular updating of the Non-conformance Logging.
* Updating standard documents (quarterly).
* Coordinating document control and data archiving.
* Assisting in wider admin tasks for estimating, marketing, compliance, and service.
* Keeping contact details up to date on our CRM system.
You will work with Purchasing to be responsible for all stock and work-in-progress (WIP) equipment within the IFSE warehouse, ensuring that equipment is consolidated in project-specific bays or stock areas with all equipment scheduled and labeled correctly.
You will need to be familiar with all projects in progress and understand:
* What equipment will be coming into the IFSE warehouse.
* What is going into third-party warehouses.
* Fabrication that will require collection.
* Equipment being delivered directly from the manufacturer.
This means that when the project begins, the logistics admin assistant will have a full understanding of the items on the project, their sources, and ensure timely delivery to site. Attendance at initial project handover meetings will be required to gain full project understanding.
