Our workshop currently features eight fully equipped bays, with a brand-new facility under construction. We are now seeking a dedicated Workshop Administrator to join our team in Ellesmere working closely with Engineering manager. This role is essential to ensuring the smooth and effective running of our workshop operations and plays a key part in supporting our mission to deliver exceptional transportation services.
Key Responsibilities
* Manage and process driver-reported defects, ensuring issues are addressed quickly and vehicles are removed from service when required to maintain safety and compliance.
* Use the Blue Crystal workshop maintenance system for job allocation, service scheduling, parts management (in/out), and accurate record keeping.
* Plan, monitor, and ensure the timely completion of all PMI, MOT,Servicing, and LOLER inspections for a fleet of 140 vehicles, maintaining full regulatory compliance.
* Oversee purchasing and parts procurement using PO systems, ensuring efficient parts supply to minimise fleet downtime
* Maintain and monitor stock levels within workshop stores to prevent shortages and operational delays.
* Support Health & Safety compliance, ensuring the workshop remains safe, organised, and efficient.
* Ensure all workshop tools and equipment are serviced, calibrated, and maintained, and manage documentation for waste disposal (waste oils, scrap materials, etc.).
* Audit engineer training logs, including IRTEC and other relevant qualifications.
* Fleet Admin management inc vehicle documentation filing, MOT Certs, TAX etc
About You
The ideal candidate will be:

* A strong communicator who can liaise confidently with drivers, engineers, and management
* A team player with a proactive, solution-focused attitude
* Be able to manage own workload dealing with and resolving issues as and when they occur without direct supervision
* Able to exercise initiative with independent judgement and decision making in situations arising.
* Provide an efficient booking/collection service for customers.
* Coordinate the movement of parts and vehicles when required.
* Liaise with relevant member of the operations team to ensure all protocols are followed.
Participate in relevant training to the role.
Hours & Pay
Hours and salary are negotiable, depending on the individual and experience.
Roughly 37.5 to 40 hours per week
Job Type: Full-time
Pay: £28,000.00-£35,000.00 per year
