Role Summary
This role sits in URBN, our shared service function, servicing the needs of our EU Logistics Function at our Distribution Centre in Peterborough, UK. The role works closely with the central HR & Talent Departments and supports and works across all brands and business areas, including Urban Outfitters, Anthropologie and Free People.
What You'll Be Doing
Frontline HR Support: Serve as the first point of contact for day-to-day queries, accurately guiding managers and external providers through standard HR policies and procedures.
ER Advisory Assistance: Provide initial advice to line managers on low-level attendance and disciplinary matters, ensuring cases are documented correctly before escalating to senior HR members.
Systems & Data: Execute the daily maintenance of HR and payroll systems, ensuring all data input is accurate and that records are stored in compliance with data retention policies.
Reporting: Collate and format people metrics to produce monthly HR KPI reports, ensuring the HR Manager has accurate data for meetings and reviews.
Employee Lifecycle Administration: Take full ownership of HR process administration, including drafting offer letters, coordinating meeting logistics, and maintaining real-time updates on employee trackers.
DEI Coordination: Provide administrative support for the delivery of DEI initiatives, helping to organize events and track engagement across the business.
Training and Development: Coordinate the delivery of colleague training sessions by managing invites, preparing materials, and tracking attendance records.
Engagement Survey Support: Facilitate the annual and pulse survey processes by managing distribution lists and ensuring data is organized for analysis.
Project Support: Deliver assigned tasks within the wider HR plan, meeting set deadlines and providing regular progress updates to the team.
Workflow Prioritization: Manage multiple administrative tasks in a fast-paced environment, effectively prioritizing a high-volume workload to meet departmental SLAs.
Inbox & Team Coordination: Coordinate the HR Inbox by ensuring queries are acknowledged promptly, meetings are scheduled efficiently, and urgent ER matters are escalated without delay.
What You'll Need
Experience of working in a high-volume setting where priorities change rapidly. Ideally you have experience as part of an HR or Administrative team within a fast-paced office.
Knowledge of UK employment legislation.
A track record of dealing with confidential information (like payroll details or medical notes) where discretion is the absolute priority.
Experience being the go-to person for office queries, showing you can find answers
High attention to detail with a strong approach to accuracy, ensuring that letters, trackers, and systems are 100% correct before they are sent or saved.
The ability to remain calm and professional when juggling multiple conflicting priorities or dealing with frustrated stakeholders.
A natural aptitude for learning new software quickly.
A friendly, empathetic manner that makes managers and employees feel comfortable coming to you with their day-to-day queries.
