Overview
We are looking for an experienced Office Manager, highly organized and proactive to join our team. The ideal candidate will also have some experience in property management or a willingness to learn, ensuring smooth daily operations in a fast-paced environment.
We offer a hybrid work structure. The Office Manager must be able to work from the London office when the CEO is in London, but can work remotely when the CEO is travelling internationally.
Responsibilities
Office Management
* Coordinate and schedule meetings, appointments, and staff events
* Support HR functions such as onboarding new staff and maintaining records
* Manage day-to-day office operations, ensuring a well-organised and efficient workplace
* Provide secretarial and administrative support to chairman (diary management, travel arrangement, external or internal events, document preparation, etc.)
Property Management
* Assist with the management of property portfolios, including tenant correspondence and record-keeping.
* Schedule property maintenance and liaise with contractors or service providers.
* Help manage tenancy agreements, renewals, and property inspections.
* Assist in preparing invoices, and tracking expenses
* Support the accounts team with data entry and reporting
* Follow up on rent payments and other property-related charges
Accounting & Financial Management:
* Manage accounts payable and receivable, ensuring accurate and timely processing.
* Reconcile bank statements, expense reports, and other financial transactions.
* Prepare and maintain financial records, invoices, and budgets.
* Work closely with external accountants to ensure proper tax filing and financial compliance.
* Generate financial reports and provide insights to management for decision-making.
* Assist in budget forecasting.
Knowledge requirements
* Excellent computer skills including Outlook, MS Word, MS Excel, MS PowerPoint
* Basic Knowledge of accounting, data, and administrative management practices and procedures
* Excellent written and verbal communication skills in English
* Professional with good interpersonal skills, well organised, self-motivated, attention to detail and high administration accuracy
* The ability to be proactive and take initiative
* Organisational skills and the ability to multitask
