Overview
We are seeking a highly organised and detail-oriented Office Administrator to join our small dynamic team. This role involves providing essential administrative support to ensure the smooth operation of our office environment. The successful candidate will possess excellent communication skills, strong computer literacy, and the ability to manage multiple tasks efficiently. This is a paid position suitable for individuals with prior administrative experience who are eager to contribute to a professional setting.
Duties
* Manage and maintain accurate records using our CRM, Microsoft Excel and Xero accounting software
* Oversee sales administration processes and update customer information within CRM software
* Prepare and edit documents using Microsoft Word and a PDF editor
* Handle email correspondence ensuring timely and professional responses
* Provide exceptional customer service by addressing enquiries promptly and professionally
* Manage time effectively to meet deadlines
* Support IT-related tasks such as troubleshooting basic computer issues and maintaining office equipment
* Assist with general administrative duties including data entry and other document management
* Liaise with internal teams to ensure seamless communication to customers and suppliers
* Efficiently answering incoming and making outgoing telephone calls to customers and suppliers
* Supporting the sales team handling any overflow sales enquiries
Experience
* Proven administrative experience in a professional environment is essential
* Proficiency in Microsoft Office Applications (Word, Excel, PowerPoint, Outlook) is required
* Experience with Xero or similar accounting software is desirable
* Familiarity with CRM software for sales and customer relationship management is advantageous
* Strong organisational skills with the ability to prioritise tasks effectively
* Excellent communication skills in English, both written and verbal
* Demonstrated computer literacy and IT skills to support daily operations
* Ability to work independently as well as part of a team with good time management skills
