To provide effective day-to-day line management for the administrative and secretarial staff within the directorate, including providing help and support to secretaries, ensuring work is prioritised daily, and managing staff movement across working areas to meet service needs.
Act as an advisor and point of contact for the Directorate Management team on day-to-day issues.
Regularly attend and represent the administrative services at directorate meetings, cardiology risk and governance (RAGG), heads of department meetings, engaging in QI processes, and attending HR meetings.
Support all Trust targets and ensure Directorate waiting times are met in line with the team's objectives.
Manage outpatient clinics within Cardiology effectively, including cancelling and organising additional clinics as necessary.
Coordinate, approve, and manage annual, study, and sick leave for Consultant Cardiologists, ensuring adequate staffing in agreement with the Clinical Director.
Support the Rota Coordinator in facilitating, organising, and deploying medical staff within the cardiology directorate in their absence.
Lead reconfiguration of staff across sites to support proposed service changes.
Manage all leave and plan for cover as required, with cross-site working as a requirement for this role.
Line manage and lead the day-to-day management of medical secretaries and administrative staff within Cardiology.
Work across all UHD sites to maintain and review staffing levels regularly.
Ensure the coordination and effective functioning of the administration team, providing support to consultants, the medical team, and the management team.
Develop and maintain a high-quality secretarial and administrative service for the consultants and their teams.
Collaborate with the Cardiology rota coordinator to ensure smooth operation of medical rotas.
Organise and schedule additional activities to support elective recovery.
Cancellations of clinics through Bookwise as part of Junior Doctor staffing and coordination.
Support/Chair 642 Outpatient Clinic Meetings to oversee scheduling and utilization.
Run Clinic Utilisation reports to ensure optimal use of clinics and guide secretaries accordingly.
Support and maintain FURA rollout to manage 6-week follow-up bookings.
Assist Service Managers in managing performance across cardiology, including aspects of pathways in compliance with targets.
