Our Site Services team plays a crucial part in keeping our estate safe, compliant and running efficiently. This role supports that mission by ensuring our facilities, systems and suppliers operate smoothly behind the scenes — enabling our people and operations to thrive.
What You'll Do
Reporting to the Site Services Facilities Country Manager, in this role you will provide essential administrative, reporting and customer assurance support across Hard and Soft Facilities Management services. You will play a key part in ensuring compliance, cost control, vendor performance and governance.
Please note, we need the ideal candidate to start immediately or be on a short notice period.
This role is a 6 month fixed term contract.
Key Accountabilities include:
* Collate and report on vendor performance to agreed SLA/KPIs, supporting legal compliance across our property portfolio.
* Track and report on:
o Planned Preventative Maintenance (PPM) and reactive maintenance
o Quotes, completed works vs invoices, POs raised and paid
o Monitor statutory compliance documentation (Fire detection & alarms, Emergency Lights, Extinguishers, FWT, Gas Safe, Legionella, PAT testing).
* Support Soft FM including cleaning, window cleaning, pest control and landscaping.
* Track and produce monitoring for Purchase Order lifecycle against financial objectives.
* Proactively chase site escalations and ensure timely resolution.
* Provide contrasting reports and MI to support existing and emerging FM risks.
* Support scoping and implementation of new projects (including CAFM systems).
* Act as a primary gatekeeper for projects — tracking, reviewing and identifying gaps/risks with recommendations.
* Coordinate communications on personnel and process changes within the team.
What We're Looking For
* Experience in multi-site Facilities Management.
* Ability to balance operational needs, timescales and commercial considerations.
* Strong prioritisation and deadline-driven organisation skills under pressure.
* Advanced Microsoft Office capability.
* Expertise in the Infraspeak CAFM system.
* Strong relationship-building capability (internal & external).
* Excellent interpersonal and communication skills; able to work autonomously with clear reporting.
* Highly motivated, results-focused and an effective team player.
