Mandarin‑ Speaking Executive Assistant to 3 Directors
Contract: 6 mths - permanent
Salary: £50,000 – £55,000 + benefits
Location: London - 5 days in the office
About the Role
We are seeking an experienced Mandarin‑speaking Executive Assistant to provide high‑level support to the General Manager and Deputy General Managers, alongside administrative support to the Management Committee and the Events & Office Manager. This is a temp‑to‑permanent opportunity, ideal for a polished EA who thrives in a fast‑paced, senior stakeholder environment and is comfortable handling sensitive and confidential matters.
Key Responsibilities
Executive & Office Support
* Ensure the smooth and efficient running of the General Manager’s office
* Proactively manage tasks and priorities, ensuring deadlines are met
* Keep the GM/DGMs fully briefed on upcoming meetings, agendas, and papers
* Build trusted, professional relationships across all levels while maintaining strict confidentiality
Diary, Travel & Correspondence
* Full diary and meeting management (electronic diary coordination)
* Arrangement of lunches and dinners for the GM/DGMs
* End‑to‑end travel booking and detailed itinerary coordination
* Email and correspondence management, including drafting responses on behalf of the GM
* Registration and logging of gifts and entertainment
Meetings & Governance
* Collation of papers and production of meeting packs
* Minute taking when required
* Full administrative support to the Management Committee, including:
* Circulation of papers
* Accurate minute taking
* Tracking decisions and actions
Administration & Documentation
* Reconciliation of expenses and corporate credit cards
* Management of reimbursement claims
* Maintenance of structured electronic and hard‑copy filing systems
* Preparation of PowerPoint presentations and Word/Excel documentation
People, Events & Projects
* Coordination of mid‑year and annual performance reviews
* Support with internal and external events
* Project work and ad‑hoc tasks as requested
Skills, Experience & Qualifications
* Fluent Mandarin and English (spoken and written) – essential
* Proven experience as an Executive Assistant supporting senior leadership
* Excellent communication and interpersonal skills
* Strong IT skills (Microsoft Office essential)
* Highly organised with strong diary and workload management abilities
* Professional, proactive, and flexible with a strong “can‑do” mindset
* Comfortable working under pressure and with minimal supervision
* High levels of discretion, tact, and diplomacy
* Willingness to work additional hours when required
