We make health and healthy eating habits accessible and exciting. We are seeking a detail-oriented and organized Administrative Clerk to support our finance and administration department. This role is primarily responsible for preparing and processing invoices, maintaining accurate financial records, and supporting day-to-day accounting and clerical functions. The ideal candidate will have a strong eye for accuracy, good time management skills, and the ability to handle confidential financial data with integrity. Key Responsibilities: ● Prepare and issue invoices in a timely and accurate manner. ● Support with Invoicing for catering orders ● Daily recon of sales takings against 3rd party ● Ensure all billing and invoicing information is complete and up to date. ● Follow up on outstanding payments and liaise with clients regarding billing inquiries. ● Reconcile customer accounts and assist in resolving discrepancies. ● Process accounts payable and accounts receivable transactions. ● Involvement in payroll allocations. ● Review and update processes for optimisation. ● Maintain financial and administrative filing systems (both physical and digital). ● Assist with data entry, report preparation, and financial record-keeping. ● Support month-end closing processes and internal audits as needed. ● Communicate effectively with internal departments and external stakeholders. ● Perform general clerical duties including photocopying, scanning, and mail distribution. Qualifications and Skills: ● High school diploma or equivalent; additional qualifications in accounting or business administration are a plus. ● Proven experience in an administrative or clerical role, preferably with accounting or invoicing responsibilities. ● Proficient in Microsoft Office (especially Excel) and accounting software (e.g., QuickBooks, Xero, or similar). ● Strong attention to detail and high level of accuracy. ● Good organizational and time management skills. ● Ability to work independently and as part of a team. ● Excellent communication and interpersonal skills.
