We are seeking a highly organised and proactive Account Administrator to support the operational efficiency of the Holistic Wellbeing Hub. What difference will you make? The Account Administrator is an important role in the organisation to ensure the smooth running of the classes we offer within the community. What are we looking for? Proven experience in an administrative role, with a focus on booking systems, invoicing, and project management. Strong organisational and multitasking abilities. Proficient in using project management software (e.g., Trello, Asana, Monday.com), booking systems, and Microsoft Office/Google Suite. Excellent attention to detail, with the ability to maintain accurate records and files. Strong written and verbal communication skills. Ability to work independently and manage multiple priorities effectively. A proactive and solution-oriented approach to problem-solving. Experience working in a wellbeing, charity, or healthcare environment is desirable but not essential. Booking System Management Oversee and manage the Hub’s booking system, ensuring appointments, sessions, and events are scheduled accurately. Handle customer inquiries, confirm bookings, and maintain an organised calendar. Invoice Creation and Sending Generate and send invoices to clients and partners as required. Ensure invoices are accurate, timely, and tracked for payment. Follow up on outstanding payments and maintain records of all financial transactions. Project Management Systems Manage and update the Hub’s project management systems to ensure that tasks, deadlines, and responsibilities are clearly assigned and tracked. Help coordinate projects, ensuring smooth workflows and efficient project completion. Data Entry and Record Keeping Maintain accurate records of all bookings, invoices, and project-related data, ensuring everything is organised and easily accessible. Communication and Coordination Communicate with clients, partners, and team members to coordinate appointments, payments, and project-related activities. Provide administrative support where necessary to ensure efficient service delivery. Documentation Management Organise and maintain project files, contracts, and other important documents in line with data protection regulations. Reporting Assist in generating regular reports related to bookings, financial transactions, and project progress. Highlight any issues or bottlenecks and propose solutions where applicable. Support for Administrative Projects Provide additional administrative support to the team, including scheduling meetings, managing correspondence, and supporting the day-to-day running of the Hub.
