Job Purpose
Under the guidance of the HR Operations Manager, the role holder is responsible for providing a high-quality, customer-focused HR advisory service on site, supporting managers and employees with day-to-day HR matters and delivering an efficient recruitment and administration service within a regulated pharmaceutical manufacturing environment.
Main Responsibilities & Duties
Act as the first point of contact for managers and employees, providing practical HR advice aligned to policy and employment legislation.
Manage employee relations activity (e.g., absence, probation, performance, conduct and grievance), escalating high-risk or complex matters (e.g., potential dismissals, discrimination allegations or collective issues) to the HR Operations Manager.
Prepare accurate HR documentation (letters, meeting paperwork and outcomes) and maintain confidential records in line with GDPR/data protection.
Provide professional note taking for HR meetings (e.g., investigations, disciplinary, grievance and performance/absence), producing clear, accurate and objective notes in a timely manner.
Own recruitment administration for designated vacancies from advert to offer, including candidate communications, interview scheduling, documentation and recruitment trackers (hiring decisions remain with the hiring manager).
Coordinate pre-employment checks (e.g., right-to-work and other checks as required) and onboarding administration in line with site processes.
Maintain accurate HR system records (starter/leaver processing, changes and HR administration) and support HR reporting/data accuracy.
Compile and provide regular HR metrics and insights to HR Business Partners (e.g., absence trends, turnover and exit interview themes) to support stakeholder discussions and action planning.
Work closely with the HR Operations Manager to support HR projects and continuous improvement initiatives (e.g., policy rollouts and process updates).
Deliver and/or coordinate site inductions for new starters as required, ensuring a positive and compliant onboarding experience.
Maintain a visible HR presence on site, building strong relationships and delivering a responsive service to operational teams.
Additional Responsibilities & Duties
Provide coordination support for HR initiatives/projects including action tracking, documentation and stakeholder updates.
Ensure compliance with all SOPs applicable to the role and maintain the SOP training matrix.
Requirements Essential Desirable
Qualifications - CIPD Level 5 (or equivalent) in HR, or equivalent practical HR advisory experience; working towards welcomed
Educated to A Level or equivalent - Degree in a relevant discipline
Experience - Previous experience in an HR Advisor/HR Officer role
Proven experience owning recruitment administration for designated roles
Proven experience of professional note taking with timely turnaround
Experience managing routine employee relations matters
Comfortable working in a fast-paced, operational site environment
Confident, customer-facing stakeholder management experience
Competent user of MS Office and HR systems (HRIS/ATS desirable) - Experience in pharmaceutical manufacturing, manufacturing or other regulated environments
Experience of SAGE/Salesforce HRIS
Knowledge - Working knowledge of employment law and HR best practice
Understanding of confidentiality, GDPR and good record keeping
