In this critical role you will support the wider team of field support administrators, take initiative with your workload, and manage your time effectively within day-to-day tasks. You will work as part of a team and assist in regional day-to-day duties with a high level of attention to detail in a fast-paced environment.


Position details

Position: Field Support Administrator

Location: Camberley STW, Home Counties South Region (Camberley, Surrey); reassignment to Camberley after a brief interim period in Chertsey

Job Type: permanent, full-time

Hours: Monday to Friday, 37.5 hours per week (start times to be discussed at interview)

Salary: £27,081 per annum

Responsibilities

* Submissions of engineers hours to Payroll on a weekly and monthly basis by set deadline dates
* Submission of on call rota to payroll
* Managing administrative duties for engineers’ holidays, including generating reports
* Ensuring the regional calendar and rota are up to date
* Generating sickness reports on a daily, weekly and monthly basis
* Note taking during investigations and disciplinary proceedings
* Booking engineers required courses and managing their certificates, ensuring validity and renewals
* Uploading CCTV footage of completed works for review
* Assisting with productivity review and pricing of completed jobs
* Conducting drug and alcohol tests for engineers when necessary
* Assisting with interviews for engineers, including note taking
* Maintaining depot documents (health and safety posters, fire warden and first aider posters, wellbeing posters, etc.)
* Submitting order requests for equipment and obtaining PO numbers; uploading delivery notes
* Managing parking tickets (PCNs) and stationary/PPE procurement
* Overseeing HR documentation to the HR Management System (new starters, leavers, changes, investigations, disciplinaries, expenses, training certificates, etc.)
* Supporting regional managers with administrative duties and ad hoc projects
* Adhering to Lanes Group policies and responsibilities

* Basic knowledge of Microsoft 365 and Google Suite
* Solid written and verbal communication skills
* Resourceful and proactive
* Ability to multi-task, prioritise, work under pressure and use initiative
* Ability to interact with people at different levels
